Timesheet

The monthly timesheet built from check-in / check-out records; person × day grid, missing check-outs, midnight split, overlaps, rounding, public holidays, month lock and Excel export.

Last updated:

The timesheet is the monthly grid of working hours built from attendance records. For the month you choose, it shows how many hours each staff member worked each day, marks missing check-outs and gives you the result as Excel. Once the month has been checked, you finalise it so the data sent to payroll does not change afterwards. EnaFeedback is not a payroll system: it does not calculate pay, overtime pay or leave, and it does not connect directly to payroll software.

Required permissions

  • To view the timesheet and download Excel, you need the check-in / check-out records permission (Owner, Administrator or Hygiene manager role).
  • To correct missing check-outs, finalise or unlock a month, and change timesheet settings and public holidays, you need the personnel management permission.

Open and read the timesheet

Open the Timesheet tab

In the admin panel, go to Check-in / Check-out → Check-in / check-out records and select the Timesheet tab.

Choose the month and people

Pick the month with the month picker. Narrow the grid by role, personnel status (New, Active, Inactive) and staff search. By default the grid lists active staff plus anyone with records that month.

Read the grid

Rows are staff and columns are the days of the month. Each cell holds the time worked that day. Weekends and public holidays are shaded. The grid scrolls sideways while the name column stays fixed.

Open a person's month

Select a person to open their monthly view: for each day, the first check-in, last check-out, sessions, check-in and check-out locations, notes and the time that falls on that day. At the top are this month's total, a comparison with the previous month, days worked, the average per day and the counts of missing, forgotten, auto-closed and corrected sessions. You can correct a missing session from here.

Cell markers

MarkerMeaning
Duration (e.g. 8:30)Time worked that day.
Out?Missing check-out: a forgotten or auto-closed session that started that day has not been corrected. It counts 0 hours until corrected.
openThe person is still on site; the session has not closed.
•An admin corrected a session on this day.

Each row ends with Total hours, Decimal hours (e.g. 7:30 → 7.5), Days worked, Avg / day, and the number of Forgotten, Auto-closed and Corrected sessions. The footer shows the organization total and the number of people.

Calculation rules

  • Missing check-out = 0 hours: forgotten and auto-closed sessions count 0 hours until an admin corrects them, because the real end time is unknown. No estimate is added.
  • Split at midnight: shifts that run past midnight are split at midnight in your organization's time zone. A shift from 22:00 to 06:00 puts 2 hours on the first day and 6 hours on the second. With the setting off, the whole session counts on the check-in day.
  • Overlapping sessions: overlapping sessions of the same person are merged, so the same time is never counted twice.
  • Rounding: optional (none, 15 min, 30 min). Each person's daily total is rounded to the nearest step, with halves rounded up. Individual sessions are not rounded.
  • Counts: forgotten, auto-closed and corrected counts include sessions whose check-in day falls in the month. Missing check-outs are counted in days.

Split at midnight and rounding are set on Attendance module → Reminders & timesheet.

Public holidays

Holidays are shaded in the timesheet, and half-day holidays are marked with ½. Holidays do not change the hours worked; they only make the calendar easier to read.

Open the holiday list

On Attendance module → Reminders & timesheet, go to Public holidays and choose the year.

Add Turkey's holidays

Add Turkey public holidays adds or updates that year's official holidays. The Ramadan and Sacrifice Feast dates are included for 2025–2030; for other years only the fixed-date holidays are added. Other days you added by hand are kept.

Add your own days and save

Use Add holiday to enter a date and name, and tick Half day if needed. Save stores the list for the selected year.

Correct missing check-outs

At month end, review the days marked Out?. Select the cell or the person to open the session, then use Correct check-out time to enter the real check-out time and the required note. The check-out must be after check-in, not in the future and no more than 72 hours after check-in. Sessions the staff member checked out of themselves cannot be corrected. See Attendance.

Month lock

Finalise the month once the timesheet has been checked:

Finalise the month

On the Timesheet tab, select Finalise month and confirm. A banner above the grid shows who finalised it and when.

Download Excel

The Excel title for a finalised month says it is final ("Kesinleşmiştir"). Send the file to payroll as it is.

In a finalised month, sessions cannot be closed and check-out times cannot be corrected. A change is rejected if the session touches a finalised month (its check-in month, or the month of its old or new check-out time). If a correction is needed, select Unlock, make the correction and finalise the month again.

Excel export

Download Excel gives you a file for the whole organization or, from a person's monthly view, for one person. The role and staff search filters also apply to the organization file.

SheetContents
Puantaj (timesheet)Person × day grid with the organization name and period title, a frozen header row, and weekend and holiday shading. Durations use Excel time format ([h]:mm) so they add up. Missing check-outs show as Ç? and days still open as Açık.
Özet (summary)Total hours, decimal hours, days worked and forgotten, auto-closed and corrected counts per person.
Oturumlar (sessions)Raw session list: staff member, check-in and check-out time, duration, status, close reason, check-in and check-out location, note.

The per-person file has daily rows and a total. The Excel file content is in Turkish. Every export is written to the audit log.

Timesheet in the mobile app

  • Admins see a Timesheet summary card under Manage: total worked this month, staff who worked, and missing, corrected and auto-closed sessions, compared with the previous month. Open the timesheet on the web takes you to the web panel for corrections and Excel. The card needs the personnel management permission; if it does not show, sign out of the admin session and sign in again.
  • Staff see their own monthly total, days worked and daily hours under Settings → My working hours. Days without a check-out show 0 hours until their manager corrects them.

Tips

  • Do not leave missing check-outs for month end; checking sessions over 24 hours on the On site now tab regularly makes month end shorter.
  • Keep split at midnight on for units with night shifts so daily totals follow calendar days.
  • If you use rounding, make sure it matches your organization's payroll rules; rounding applies to the daily total.
