Cleaning and inspection tracking

Turn the sheet on the restroom door into a measurable plan

EnaFeedback cleaning tracking is a digital restroom and facility cleaning log: staff scan a location’s QR code or NFC tag to record cleaning and inspection rounds, and managers compare those records with shift plans. Inspection logs use a checklist to produce a quality percentage.

One-tap logging

Staff scan the location and tap “Cleaning done” or “Checked”; time and location are recorded automatically.

Checklist and quality %

Inspections are checked against parameters you define; 70% or higher counts as sufficient.

Shift plans

Define how many cleaning or inspection rounds each location needs in each time slot.

Plan compliance

Completion and success percentages show how much of the plan was actually done.

Proof of presence

Optionally accept logs only from locations verified by an NFC tag (with the mobile app) or a live display.

Staff performance

See cleaning and inspection counts, quality and verification rates for each person.

The limits of a paper cleaning log

A paper sheet on the restroom door is the most common way to track cleaning, but it is hard to audit. Signatures can be added in bulk later, times get rounded, and full sheets go missing. To find which areas were cleaned less often than planned, someone has to read every page.

In EnaFeedback, each record is made from a phone while the staff member is at the location and is written to the server with its time. The gap between planned and actual is calculated for every location automatically. Instead of reading sheets, you open a report. Staff no longer need to sign, replace full sheets or hand them in.

  • Every log stores verified and fresh session flags
  • The same person cannot log the same type at the same location again within 30 minutes
  • Plan compliance is calculated automatically
  • Past days are evaluated against the plan in force on that day

How staff record a round

A cleaner scans the QR code at the location or taps the NFC tag, then taps “Cleaning done” on the staff hub, and the log is created. Staff with the Control role tap “Checked” and tick the inspection parameters you have defined. The system divides checked items by total items to calculate a quality percentage.

There are two staff roles: Cleaning and Control. Cleaning logs require the Cleaning role, and inspection logs require the Control role; one person can hold both. The same person cannot record the same type of log at the same location again within 30 minutes, which prevents meaningless back-to-back entries.

Logs can be recorded on the web or in the mobile app. Staff sign in quickly with a 4-character personnel code or a passkey saved on their phone. The code is stored only as a hash, sign-in locks after 10 failed attempts in 15 minutes, and staff who forget their code can reset it by email or SMS.

How you know staff were really there

Each log stores whether the location session was verified and whether the scan was fresh. With “Verification required” switched on, a log is accepted only if the location came from an NFC tag carrying a trust token or from the dynamic QR on a live display, which refreshes every 15 seconds. NFC verification works only in the EnaFeedback mobile app, which reads the trust token on the tag. A phone that taps the tag without the app opens the location in the browser; that session is the same as a QR scan and does not count as verified. A photo of a QR code scanned somewhere else does not meet this condition.

“Fresh session required” means the log must be recorded within 5 minutes of the scan. Used together, the two settings mean a log is created only when the staff member is at that spot at that time. Reports show verified and fresh rates separately.

Cleaning and inspection plans

You set separate plans for cleaning and for inspection. Each domain has a global plan with a day start (08:00 by default), shift slots and excluded locations. You can add custom plans for busy areas; a location belongs to at most one custom plan per domain. Routine days and public holidays have separate day profiles.

Each slot has a start, an end and a required count of 1 to 3 logs. Slots are at least 30 minutes long on a 5-minute grid, and you edit them on a drag-and-drop timeline or in a table. Plans are versioned with an effective date, so a change you make today does not alter how past days are evaluated.

  • Global plan plus location-specific plans
  • Routine and public-holiday day profiles
  • 1–3 required logs per slot
  • Holidays entered manually or imported

Compliance, quality and performance reports

Plan compliance gives two measures. Completion % shows how much of the required work was done; extra logs in one slot do not make up for a shortfall in another. Success % is the share of slots that met their required count. Each location’s operational status for today is also shown.

Cleaning log analysis and control log analysis break records down by location, time and person. Inspections at 70% quality or higher count as sufficient, and the “Quality below 70%” alert rule tells you right away about weak results. Staff cleaning and control performance screens compare individuals. Reports export to Excel, and the personnel summary exports to PDF.

Read it alongside visitor ratings

Cleaning logs show the work was done; hygiene ratings show how the result feels to the people using the space. Seeing both for the same location lets you decide with data whether the plan is enough. If not, you can add slots, update the checklist or create a custom plan for that location.

Staff attendance (check-in and check-out) runs on the same staff hub and has its own report, so you can read who was on site during a shift next to the cleaning and inspection logs recorded.

Cleaning tracking

Staff log cleaning and inspection rounds by QR or NFC; records are compared with shift plans and reported as compliance.

Frequently asked questions

Can staff log a round from somewhere else?
With “Verification required” on, logs are accepted only at locations verified through an NFC tag with a trust token (read by the mobile app) or the dynamic QR on a live display. “Fresh session required” also makes staff record the log within 5 minutes of the scan.
Can staff attach photos to logs?
No, cleaning and inspection logs do not take photos. Proof of presence comes from the verified, fresh location session, which is stored on every log.
Can we define our own inspection checklist?
Yes. You set the control parameters in the admin panel. Each inspection log keeps a snapshot of the checklist used, so later changes do not affect older records.
Will changing a plan break old reports?
No. Plans are versioned with an effective date, and past days continue to be evaluated against the plan that was in force on that day.
Can we use a different plan on public holidays?
Yes. Routine days and public holidays have separate day profiles. You can enter holidays manually or import them for your country.
Do staff need to install an app?
Not for QR-based logs: staff can record them from the staff hub in the browser, and the dynamic QR on a live display gives a verified session. NFC verification and writing NFC tags work only in the EnaFeedback mobile app. The Android and iOS apps are in internal testing and coming soon to the stores.
