Hygiene assessment

Measure cleanliness the way people actually experience it

EnaFeedback hygiene assessment is a module that lets visitors rate a restroom, waiting area or common space from 1 to 5 by scanning a QR code or tapping an NFC tag. Each rating is stored with its location, low scores can trigger alerts, and serious reports can be turned into a ticket in one click.

A clear 5-point scale

Very dirty, dirty, average, clean, very clean. Shown as emoji or stars, it takes seconds to answer.

Stored by location

Every rating is saved with its building, floor, unit and location, so you know exactly which restroom needs attention.

Comment and photo

Visitors can add a short comment and a photo, so the team understands the issue before arriving.

Low-score alerts

“Rated 1” and “Rated 2” rules notify the right people by email, SMS or in-app message.

Transfer to a ticket

A serious report becomes a feedback ticket in one click and can be routed to resolution teams.

Side-by-side analysis

Hygiene report analysis compares locations and time periods by average score and share of low ratings.

What a cleaning checklist on the door does not tell you

A cleaning log on the back of a door shows that staff stopped by. It does not show what the space is like for the person using it. At peak times, a restroom can be in poor shape again half an hour after cleaning, and the first person to notice is the visitor.

Hygiene assessment collects that signal at the source. Visitors scan the QR code on the door and rate the space. You make decisions based on the result people experience, not only on whether a round was logged.

How visitors rate a space

When a visitor scans the QR poster, taps the NFC tag or scans a live display at a location, they choose “Rate our cleanliness” on the hub. They see five options: Very dirty, Dirty, Average, Clean and Very clean. You can show the scale as emoji (the default) or stars, with or without labels.

After rating, the visitor can add a short comment and a photo. Video attachments are off by default and can be switched on. Each submission gets a reference code starting with TB. The same rating from the same location is rejected for 5 minutes, which makes it hard for one person to skew the results.

  • Emoji or star display
  • Optional comment and photo
  • Interface in Turkish, English, German and Arabic
  • Repeat ratings blocked for 5 minutes

What the hygiene manager sees and does

Each rating arrives in Hygiene reports with the status Open. The manager reviews it, adds notes and closes it. Closing requires a result (Resolved, Unresolved or Not an actionable issue) and a note, so every closure is recorded with its reason.

The history shows each view, note, transfer and closure with who did it and when. A single report can be downloaded as a PDF. The Hygiene manager role also covers cleaning logs, plans and staff performance, without needing access to feedback or survey modules.

Alerts and the ticket path for low scores

When you switch on the “Rated 1” and “Rated 2” alert rules, the people you choose get an email, SMS or in-app notification as soon as a low score comes in. Separate rules cover ratings with a comment or with media. Users who follow a specific location can also receive every hygiene report for it.

When an issue needs more than a cleaning round, such as a broken faucet or a drain that keeps clogging, the manager uses “Transfer as feedback” to turn the report into a ticket. They enter a subject, message and priority; the category defaults to Complaint. A summary of the rating and its attachments are copied over, and the ticket can be routed to resolution teams. Transfer is a deliberate admin decision; tickets are not opened automatically from scores.

Reports and working with other modules

Hygiene report analysis shows the score distribution, the average and the share of ratings at 2 or below, by location, unit and time. You can see which spaces score low again and again and at what times problems cluster. Reports export to Excel and charts can be saved as PNG.

Visitor ratings mean more when read next to the cleaning and control logs your staff record. If plan compliance is high at a location but scores stay low, it may be time to review shift frequency or the control checklist.

Frequently asked questions

How is a hygiene assessment different from a cleaning log?
A hygiene assessment comes from the visitor using the space; cleaning and control logs come from staff. One measures the outcome, the other measures the work done. Both are reported for the same location.
Does a low score open a ticket automatically?
No. Transferring a report to a ticket is an admin decision. To hear about low scores right away, switch on the “Rated 1” and “Rated 2” alert rules, which are off by default.
Can one person skew the results by rating repeatedly?
The same rating from the same location is rejected for 5 minutes, and ratings are limited to 10 per minute. This keeps repeat submissions from distorting your reports.
Can we change the rating scale?
The scale is fixed at 1 to 5: very dirty, dirty, average, clean, very clean. You can choose emoji or star display and show or hide the labels.
Can visitors attach photos?
Yes, visitors can add a comment and photo with their rating. Video attachments are off by default and can be enabled in the admin panel.
Can we turn the module off at some locations?
Yes. Hygiene assessment can be switched off per location, so you can keep it only on restrooms and waiting areas, for example.
