Alerts and notifications

Tell the right person when it matters

EnaFeedback alerts notify the right people by email, SMS or in-app message when something happens on site, such as a restroom rated 1 or a new complaint. You decide what triggers an alert, who gets it and through which channel, using rules and follows.

15 ready-made alert rules

Switchable rules for hygiene ratings, cleaning and control logs, check-in/out and feedback categories.

Follows

Follow a location, survey, feedback item or person, and choose a channel for each situation.

Email, SMS, in-app

Rule and follow alerts go out on these three channels; in-app alerts collect under the sidebar bell.

SMS quiet hours

Per-user quiet hours; SMS sent during the window are held and delivered as one digest when it ends.

Your own providers

Use the default ENA Gateway, or your own Resend, SendGrid, SMTP, NetGSM, Twilio or Bird account.

Delivery log

Every delivery is logged as Pending, Sent, Failed or Skipped, with the recipient masked.

Alert rules: what triggers a notification?

Module alert rules are 15 predefined rules that pass events from the field to managers. All are off by default. You switch on the ones you need and choose recipients and channels; the default channels are email and in-app. Only the events you actually want to watch create notifications, so teams are not flooded with noise.

The rules cover four areas. Hygiene: ratings of 1, ratings of 2, ratings with a comment and ratings with media. Work logs: new cleaning log, new control log and control quality below 70%. Attendance: check-in, check-out and forgotten check-out. Feedback: request, suggestion, complaint, thanks and feedback with media.

  • Hygiene: rated 1, rated 2, with comment, with media
  • Work logs: new cleaning, new control, quality below 70%
  • Attendance: check-in, check-out, forgotten check-out
  • Feedback: request, suggestion, complaint, thanks, with media

Follows: watch your own area

Rules apply across the organization; follows are personal. A user can follow a specific location, survey, feedback item or staff member. They then pick which of six situations they want to hear about: hygiene report, feedback, survey response, cleaning log, inspection log and feedback actions, with a channel for each.

A floor supervisor might follow only the B-block 2nd-floor restrooms, getting hygiene reports there by SMS and feedback by email. When the same event matches both a rule and a follow, the person receives one notification; duplicates across tiers are suppressed.

Channels and providers

Rule and follow alerts are sent by email, SMS and in-app message. In-app alerts collect under the bell in the admin sidebar. The default option needs no setup: the ENA Gateway sends email through Resend and SMS through NetGSM.

To use your own account, configure Resend, SendGrid or SMTP (plain, STARTTLS or TLS) for email, and NetGSM, Twilio or Bird for SMS. One provider is active per channel at a time. If you delete your own provider, the channel reverts to the ENA Gateway. Provider keys are stored encrypted with AES-256-GCM.

System notifications and status updates for visitors

Eight system events run independently of rules: ticket routed, ticket status changed, status update to the submitter, personnel code, welcome, activated, deactivated and deleted. When a ticket is routed to a resolution team, the team members are notified.

A visitor who adds contact details to their feedback receives an email and/or SMS when the ticket status changes. These messages exist in Turkish, English, German and Arabic. Visitors can also check the status on the web with their request code.

SMS quiet hours, delivery log and webhook

Each user can set their own SMS quiet hours. Rule and follow SMS that arrive in that window are queued and sent as a single digest SMS when it ends. A manager who is off at night is not woken up, and sees what happened in one message in the morning.

Every delivery appears under Records, "Notification deliveries", with the status Pending, Sent, Failed or Skipped and a masked recipient. To pass events to your own systems, set one webhook URL per organization: ticket routed and ticket status changed events are sent as JSON, with an optional HMAC-SHA256 signature.

Frequently asked questions

Can I be alerted right away when a hygiene rating is poor?
Yes. Switch on the "Rated 1" and "Rated 2" rules and the recipients you choose get an email, SMS or in-app alert when those ratings arrive. These rules are off by default.
Which SMS providers do you support?
The default ENA Gateway sends SMS through NetGSM. You can also use your own NetGSM, Twilio or Bird account. One provider is active per channel at a time.
Are there mobile push notifications?
Today alerts are delivered by email, SMS and in-app message. Push notifications for the mobile app are not active yet.
What about managers who do not want SMS at night?
Each user sets their own SMS quiet hours. Rule and follow SMS during that window are held and sent as one digest SMS when the quiet hours end.
How do I check that notifications were delivered?
The "Notification deliveries" view under Records lists every delivery with the status Pending, Sent, Failed or Skipped. Recipients are masked in that list.
Can tickets flow into our own system?
You can set one webhook URL per organization. Ticket routed and ticket status changed events are sent as a JSON POST with an optional HMAC-SHA256 signature. Each event is sent in a single attempt.
