Ticket management

Give every complaint an owner and every ticket an outcome

EnaFeedback ticket management is the workflow that turns visitor and staff feedback into numbered tickets, routes them to the right resolution teams and tracks them until they are closed. Every routing, note and close result is recorded with who did it and when.

One ticket per submission

QR visitor, staff, manual entry or hygiene transfer: each record creates one ticket with an FB code.

Route to resolution teams

Send a ticket to one or more teams with a note. It moves to In progress automatically.

Team inbox

Team members see only the tickets routed to their teams, add notes and conclude their routing.

Closed with a reason

Tickets close as Resolved, Unresolved or Not an actionable issue, so outcomes are always explicit.

Process analytics

Report on time to first read and time to close, the age of unread tickets and team success rates.

Signed webhook

Send routing and status-change events to your own systems through an HMAC-signed webhook.

Collecting complaints is easy; closing them is not

Many organizations collect feedback, then lose it in email threads, phone notes and personal to-do lists. Nobody can say who owns an issue, how long it has waited or how it ended. In an audit or a management meeting, the answer is usually a guess.

In EnaFeedback, every piece of feedback creates exactly one ticket, whatever its source. The ticket code is the same as the feedback code (it starts with FB). Status, priority, the teams it was routed to and the final result live in one record with a complete history.

  • Four sources in one list: QR visitor, staff feedback, manual entry, hygiene escalation
  • Three statuses: New, In progress, Closed
  • Three priorities: Normal, Priority, High priority
  • Closed tickets stay closed; the outcome does not change

How a ticket moves, step by step

A ticket opens as New, with its priority taken from the category: complaints are high priority, requests are priority, and suggestions and thanks are normal. The feedback manager reviews it, adjusts the priority if needed and routes it to one or more resolution teams with a required note. On the first routing, the ticket moves to In progress automatically.

The team sees the ticket in its inbox, adds notes and concludes the routing with a result: Action taken, Could not complete, Forwarded or Returned. When needed, an admin can withdraw, cancel, mark as expired or handle a routing themselves.

A ticket cannot be closed until every open routing is concluded. On closing, the admin picks Resolved, Unresolved or Not an actionable issue. If the visitor left contact details, they get an email or SMS each time the status changes.

Resolution teams and the team inbox

Resolution teams mirror your real departments, such as technical services, IT, security or patient relations. Members are organization users with team inbox permission. A user with the Team member role sees only the team inbox and can open only tickets routed to their own teams.

The inbox shows unread, open and concluded counts, success rate, average time to conclude and a 30-day trend. If a team is renamed, past routings keep the name it had at the time, and a team with open routings cannot be deleted. Records stay accurate after the fact.

  • Several teams per ticket
  • A required note on every routing
  • Success rate and time per team
  • Visibility based on permissions

A record you can stand behind

Ticket history shows creation, status changes, routings, routing results, notes, priority changes and views, each with the user and time. Notes can run up to 4,000 characters. A single ticket can be downloaded as a PDF.

Actions such as routing and closing are also written to the audit log. Audit entries are protected by an HMAC-SHA256 hash chain that links each row to the previous one, and exports are logged too. When someone asks how a complaint was handled, the answer is already on record.

Alerts, webhook and reports

When a ticket is routed to a team or its status changes, a system notification goes to the people involved. Category-based alert rules can, for example, email or text a manager on every new complaint. If you want the data in your own system, routing and status-change events are sent to a single URL as a webhook that can be signed with HMAC-SHA256.

The process view in Feedback analytics shows time to first read and time to close (mean and median), age buckets for unread tickets, heatmaps, and how categories flow into close results. Resolution team performance compares teams. Reports export to Excel. These analyses look back at what happened; the product does not run SLA timers or automatic escalation.

  1. 01

    A ticket is created

A visitor, staff member or admin submits feedback, and a ticket opens with a priority based on its category.

  2. 02

It is routed to a team

An admin sends it to one or more resolution teams with a note; the ticket moves to In progress.

  3. 03

    The team concludes it

The team adds notes in its inbox and concludes the routing as Action taken or another result.

  4. 04

    The ticket is closed

Once all routings are concluded, the ticket closes with a result and the visitor is notified.

Frequently asked questions

Are tickets assigned to teams automatically?
No. Routing is done by an admin, and every routing needs a note, so tickets reach the right team with context. Alert rules let you spot new tickets as soon as they arrive.
Can one ticket go to more than one team?
Yes. You can route a ticket to several resolution teams at once. Each routing is concluded separately, and the ticket can only be closed after all open routings are concluded.
Can team members see every complaint?
No. Users with the Team member role see only the team inbox and can open only the tickets routed to teams they belong to. They have no access to other modules.
Can we set SLA deadlines?
The product does not include SLA timers or escalation when a deadline passes. Instead, you track time to first read, time to close, the age of unread tickets and each team's average time to conclude in reports.
Can a closed ticket be reopened?
No. Closed tickets remain as a permanent record. If the same issue happens again, a new feedback record and ticket are created, which keeps your reports reliable.
Can we send tickets to our own system?
Routing and status-change events are sent as a JSON webhook to one URL per organization and can be signed with HMAC-SHA256. Ticket lists also export to Excel, and a single ticket exports to PDF.
