Solution for facility management companies

Prove the service you deliver at every site

EnaFeedback is a platform that lets facility management and cleaning service companies record cleaning and inspection rounds across multiple sites with NFC and QR, and handle occupant feedback and tickets in the same panel. Plan compliance, inspection quality and ticket times become reports you can share with your clients.

NFC-verified logs

Logs can only come from a session opened by the location’s NFC trust token, read by the mobile app, or a live display QR.

Shift-based plan compliance

Compare required and actual cleanings and see completion and success rates by location.

Checklists and quality scores

Inspectors tick off control parameters, and you get an alert when quality drops below 70%.

Staff attendance

Staff check in and out at the location at the start and end of a shift; duration, verified and forgotten rates are reported.

Ticket time analysis

Time to first read, time to close, unread ticket age and team performance are reported after the fact.

A separate environment per customer

Each customer runs on its own application stack and database, so data never mixes.

Common challenges

  • When a client says "cleaning isn’t happening," all you have is paper charts collected from the site.
  • Paper charts can be filled in all at once at the end of the shift, so nobody can verify the log was written on site.
  • You cannot compare team performance across sites with the same yardstick.
  • Occupant complaints arrive through the client’s email or phone, and nobody documents when they were resolved.
  • Staff check-ins and check-outs are kept in separate logbooks at each site.
  • Reporting contractual service levels takes hours of data gathering every month.

Where QR and NFC points go

  • Office building restrooms and washrooms
  • Shopping mall common areas and food courts
  • Meeting rooms and floor kitchens
  • Lobbies and reception areas
  • Factory locker rooms and showers
  • Staff cafeterias
  • Elevator lobbies and fire stairs
  • Parking levels
  • Plant rooms and boiler room checkpoints
  • Staff entrances

Proof of service: who, where and when

The most common dispute in facility management is whether the work was done. In EnaFeedback, cleaners log "Cleaning done" and inspectors log "Checked" at each location. Every log is stored with staff member, location, date and time.

With "Verification required" on, the location must come from an NFC trust token or the rotating QR on a live display. NFC verification works only in the EnaFeedback mobile app; an NFC tap without the app opens the location in the browser as an ordinary, unverified visit, the same as a QR scan. A photo of a QR code does not count as verified either. "Fresh session required" also means the log must be written within 5 minutes of the scan.

The same person can log the same type at the same location once every 30 minutes. That stops anyone from padding plan compliance with back-to-back logs.

One yardstick across sites

Each site is defined with a building, floor, unit and location hierarchy. You set a global plan and custom plans for cleaning and inspection, with 1 to 3 required logs per shift slot. Plans are versioned, so past days are evaluated against the plan in force on that day.

Plan compliance uses two rates: completion (actual logs against required logs) and success (the share of shift slots fully met). Staff cleaning and inspection performance reports let you compare teams with the same yardstick.

Track SLAs through ticket times

When occupants send a complaint or hygiene rating by QR code, it is recorded as a ticket and routed to your teams. Teams see the ticket in their team inbox, add notes and close it with a result.

Feedback analytics show time to first read, time to close (mean and median), the age of unread tickets and close results by category. EnaFeedback has no automatic SLA timers or escalation; these reports give you the data to review contractual service levels after the fact.

A mobile app for the field team

Staff sign in on the web staff hub with a 4-character personnel code or quick sign-in on a saved phone. The Android and iOS mobile app is in internal testing and coming soon to the stores; it covers NFC verification, NFC tag writing, cleaning and inspection logs, and check-in and check-out. Until it ships, live displays give verified logs in the browser.

There is no offline mode, so staff need an internet connection on site to log work.

Reports ready for your clients

Cleaning log analysis, inspection log analysis, plan compliance, hygiene rating analysis and check-in/check-out records export to Excel, and personnel report summaries to PDF. Every export is written to the audit log.

You prepare monthly service reports by downloading them, not by gathering data.

Frequently asked questions

Can staff log work from elsewhere, for example with a photo of the QR code?
Not when verification is required. The location must come from the NFC trust token, read by the mobile app, or the live display QR, which refreshes every 15 seconds and stays valid for 30. A printed static QR does not provide verification.
Can staff attach photos to cleaning logs?
No, cleaning and inspection logs do not include photos. Evidence comes from whether the location session was verified and fresh. Visitors can attach photos to hygiene ratings.
Are contractual SLA times tracked automatically?
There are no automatic SLA timers or escalation. Feedback analytics show time to first read and time to close as mean and median, and you assess SLAs with that data.
Can each of our clients get a separate environment?
Every EnaFeedback customer runs on its own application stack, database and file storage. Let’s plan your multi-client setup together during the quote.
What if staff forget to check out?
Staff close the session themselves with "I forgot to check out"; it is marked Forgotten and left out of duration statistics. You can also turn on an alert rule for forgotten check-outs.
