Cafeteria meal records

Meal records at the cafeteria, without paper lists or card readers

EnaFeedback cafeteria meal records is location-based meal tracking: staff scan the cafeteria’s QR code, live display or NFC tag and tap “I had my meal”. The button only shows during the service hours the admin plans, and each person records each meal once a day. Admins follow the records organisation-wide, per cafeteria and per person, then lock the monthly meal timesheet and download it as Excel.

One-tap meal record

Staff scan the cafeteria’s QR code, live display or NFC tag and tap “I had my meal”. The card shows the meal and time straight away.

Service hours

Plan breakfast, lunch, dinner and night meals for each cafeteria, separately for regular days and holidays. The button only shows while a meal is served.

One record per meal per day

A meal counts once a day; it cannot be recorded again at another cafeteria, or from both the web and a phone.

Access by group

Open a cafeteria to all active personnel, or limit it to personnel groups such as “Shift A” or “Contractors”.

Cafeteria and personnel reports

Counts by day and meal, the split between cafeterias, day × hour density and per-person statistics.

Monthly meal timesheet

A person × day grid with the initials of the meals taken, totals per meal, a month lock and Excel export.

Why is counting cafeteria meals still hard?

In hospitals, campuses and facilities, cafeteria meals are often counted with paper sign-in lists, meal tickets or a counter at the till. Signatures can be added in bulk, the same person can be written down twice, and turning the lists into a per-person, per-meal timesheet at month end takes time. Card readers need installing and maintaining in every cafeteria.

EnaFeedback cafeteria meal records uses the location points you already have: the QR poster, live display or NFC tag at the cafeteria location is enough. Staff record on their own phones; the record reaches the server immediately, and the system stops the same meal from being counted twice.

  • No extra reader hardware or cabling
  • Each record keeps the person, cafeteria, meal and time
  • A meal counts once a day

Service hours and night shifts

Admins edit the organisation’s list of meals (by default breakfast, lunch, dinner and night breakfast) and draw each cafeteria’s service windows with the same shift editor the cleaning plans use. Regular days and holidays get separate hours; holidays come from the organisation’s working days and public holiday calendar.

A day start time writes night shifts to the right day: with the default of 04:00, a night breakfast at 02:00 counts for the day the shift started. Outside service hours, staff see the next meal and its time on the card, and the card refreshes itself when a service starts or ends.

  • One window per meal, at least 15 minutes
  • Separate hours for regular days and holidays
  • A day start time for night meals

Manual records, voids and verification

For someone without their phone, an admin adds the meal manually with a note, and voids a wrong record with a reason. A voided record is not deleted; it is left out of counts and stays visible with who voided it and why. Manual records and voids are written to the audit log.

If the organisation wants, only a verified location session is accepted, meaning the live display’s dynamic QR or an NFC tag read with the mobile app; the fresh-session rule accepts records within 5 minutes of the scan. Every record keeps whether the location session was verified and fresh.

  • Manual records with a note
  • Voids with a reason, never deletes
  • Verified and fresh session options

Reports and the monthly meal timesheet

The Records and reports screen shows total meals, personnel, the daily average, a chart by day and meal, the split between cafeterias and the day × hour density. Per-person records and statistics are on the same screen.

On the Timesheet tab, the meals each person took each day appear as initials in the meal’s colour, with monthly counts per meal at the end of each row. Once a month is locked, records cannot change and the Excel file is marked as final. The module does not calculate meal costs or payroll deductions; you hand the counts to the caterer or payroll as Excel.

Frequently asked questions

Does it calculate meal costs or payroll deductions?
No. The cafeteria module only counts who had which meal, on which day, at which cafeteria. It does not calculate prices, meal costs or payroll deductions; you take the monthly timesheet as Excel for reconciliation with the caterer or for payroll.
Can the same person record the same meal twice?
No. Each person can record each meal once per operational day; a second record is refused even at another cafeteria or from another device. The rule is also enforced by the database, so of two simultaneous taps only one is saved.
Which day does a night-shift meal count for?
A meal before the day start time counts for the previous day. With the default of 04:00, a night breakfast at 02:00 is written to the day the shift started; your organisation can change this time.
Do staff need the mobile app?
No. Staff can scan the cafeteria’s QR code with their phone camera and record from the web staff panel. The mobile app adds a cafeteria tile on the home page, NFC-verified reads and a monthly “My meals” page.
Can I send contractors to a separate cafeteria?
Yes. Create groups on the Groups tab of personnel management, then open each cafeteria to all active personnel or limit it to the groups you choose. Staff without access do not see the cafeteria card at that cafeteria.
