Cleaning and control logs
How field staff log cleaning and control rounds at a location, how control parameters and quality % work, and how proof of presence is enforced.
A cleaning log is a digital record that a staff member cleaned a location; a control log records that an inspector checked it. Together they replace paper restroom cleaning checklists: staff scan the location's QR code or NFC tag, tap one button on the staff hub, and the log is saved with the time, the person and the location. Control logs also include a checklist and a calculated quality percentage.
Required role
- To create a cleaning log, the staff member needs the Cleaning role.
- To create a control log, the staff member needs the Control role.
- To analyze logs and manage control parameters in the admin panel, you need Owner, Administrator or Hygiene manager.
- Only Owner and Administrator can change module settings such as the verification requirements.
How staff create a log
Scan the location
The staff member scans the location's QR poster, live display or NFC tag. If no staff session is active, they sign in with their personnel code or Quick sign-in.
Choose the action
On the staff hub, they tap Cleaning done or Checked, depending on their role.
Complete the checklist (control only)
For a control log, the control parameters defined by the admin are listed. The inspector ticks the items that pass and submits the log.
Control parameters and quality %
The checklist is managed in the admin panel as Control parameters. Each item can be up to 120 characters, for example "Sinks clean and dry" or "Soap dispenser full".
Each control log stores:
- A snapshot of the checklist at the time of the log (editing the list later does not change old logs)
- Which items were checked
- Quality % = checked items ÷ total items
A control counts as sufficient at 70% or higher.
Cooldown
The same person can log the same type at the same location once every 30 minutes. This prevents duplicate logs from repeated taps. Cleaning and control have separate cooldowns.
Proof of presence
Work logs carry no photos. Evidence that the person was on site comes from the location session: every log stores whether the session was verified and fresh.
Each staff module has two settings:
| Setting | Meaning |
|---|---|
| Verification required | The location must come from an NFC tag's trust token or a live display's dynamic QR. A photo of a printed QR poster is not enough. |
| Fresh session required | The log must be written within 5 minutes of the scan. |
Strong verification with NFC
NFC verification works only in the EnaFeedback mobile app. An NFC tap without the app cannot read the trust token and opens the location in the browser with an unverified session. The app is coming soon to the stores. Live displays with a dynamic QR open a verified session from the browser as well.
Reports and alerts
In the admin panel, review logs here:
- Cleaning logs → Cleaning log analysis and Staff cleaning performance
- Control logs → Control log analysis and Staff control performance
Reports can be exported to Excel. You can also turn on alert rules for new cleaning logs, new control logs and control logs with quality below 70%. These rules are off by default, and their names may appear in Turkish in the English interface. To see whether the expected number of logs was made per shift, use tracking plans.
Common mistakes
- Button missing: the person lacks the Cleaning or Control role. Add it in personnel management.
- Log cannot be created: the 30-minute cooldown may still be running, or Verification required is on and a printed QR was scanned.
- Overlong checklist: the more items you add, the less a single failed item moves the quality %. Keep the list to criteria inspectors actually check.
