Unit entry and exit

Recording when staff enter and leave units such as intensive care or operating theatres; points and direction, capacity, maximum stay, audience, one unit at a time, Inside now, corrections, occupancy heat map, contact tracing, Excel, alerts and staff screens.

Applies to:
  • Admin panel
  • Staff panel
  • Mobile app· staff
Requires: EnaFeedback 2.9.0 · EnaFeedback Mobile 1.16.0

Unit entry and exit records when staff enter and leave a unit inside the organisation (for example intensive care, an operating theatre, sterilisation or a drug store). It is separate from the organisation-wide Check-in / check-out module: working time answers "am I at work", a unit record answers "which unit am I in right now". Staff scan the QR code, live display or NFC tag at one of the unit's points and tap Enter or Leave. The module needs EnaFeedback 2.9.0 Requires: EnaFeedback 2.9.0 and EnaFeedback Mobile 1.16.0 Requires: EnaFeedback Mobile 1.16.0.

Required permissions

PermissionWhat it gives
Unit recordsThe Unit records screen: the Inside now list and every record.
Unit record managementClosing an open stay, correcting the exit time, adding a record manually and voiding with a reason.
UnitsCreating and editing units: points, rules and audience.
Module management (Unit entry and exit)The Module management page (staff card, location check defaults, stay rules); includes units.

All four permissions belong to the Owner and Administrator roles. The Unit coordinator role holds records, record management and units, but not module management. Staff need no special role.

Unit managers

Unit users without module management (for example the Unit coordinator role) see only the units they manage: the unit list, Inside now, records, analysis, contact tracing, Excel, the admin home card and unit alerts are limited to those units. Owners and administrators see every unit. An owner or administrator picks the managers in the Unit managers section of the unit's Audience tab; only users whose roles carry a unit permission are listed. A unit coordinator who creates a unit with the planning permission becomes its manager. A unit coordinator with no units assigned sees an empty list. Requires: EnaFeedback 2.9.0

Creating a unit

On Unit entry and exit → Units, the list on the left shows each unit with the people inside now, its points, maximum stay and capacity.

Create the unit by name

Click New unit, type the name and click Create. A new unit is open to all active staff, gets a colour and opens on the Points tab.

Add points

On the Points tab, pick the locations staff scan. Each point has a direction: Entry and exit, Entry only or Exit only. Set it for units with separate entry and exit doors; nobody can leave at an entry-only point or enter at an exit-only point. One location can be a point of several units, and staff who scan it see all of them. Nobody can enter a unit without points.

Set rules and audience

The Details tab has Capacity (new entries are refused while full; empty means no limit), Maximum stay (30 minutes to 24 hours; the stay closes automatically at the limit), the Unit open switch and the location check (Verified scan required, Fresh session required). On the Audience tab, choose All active staff or Chosen groups only; the top line says how many active staff may enter.

Nobody can enter a closed unit; people inside can still leave. A unit cannot be deleted while someone is inside; close the open stays first.

Staff outside the audience

Staff without access see the card, with "You may not enter this unit" instead of the button. The attempt is counted once per person, unit and day.

Working time (PDKS) check-in required first

With Working time (PDKS) check-in required first on the unit's Details tab, staff can enter only while checked in to work. Staff without a check-in see "Check in to work first" and a link to check-in / check-out on the card; the mobile app shows the same. Leaving always works.

Stay rules

On Unit entry and exit → Module management → Rules:

  • One unit at a time (on by default): entering another unit closes the previous stay as "Moved to another unit".
  • Close at work end (on by default): when the person's working time session ends (check-out, "I forgot", an admin close or correction, or auto-close), open unit stays close at the same instant as "Closed at work end".
  • Reminder: at a share of the maximum stay (80% by default) the person gets an inbox reminder. At the limit the stay closes as "Closed automatically at the time limit"; the exit time is entry plus the maximum stay.
  • Location check defaults: the starting value for new units; existing units do not change. The unit form shows a different value with Module default.

The Preview and Interface tabs show the staff card and its texts. Default texts appear in the person's language; custom texts are translated with AI.

Unit records

On Unit entry and exit → Records, the left list shows All units and each unit with its occupancy. Picking a unit filters both tabs to it.

Per unit: the people inside, entry time, time inside, entry point and whether the location was verified. People past the maximum stay are highlighted. The list refreshes every 30 seconds. With Unit record management you can Close a stay with a required note.

Closing, correcting, adding, voiding, reminders and automatic closing send the person an inbox message in their language (Turkish, English, German, Arabic), with the note or reason.

Analysis

On Unit entry and exit → Records, pick the date range at the top (last 30 days by default, at most a year). With Unit records these tabs open as well; picking a unit on the left filters them all to that unit.

  • Overview: entries and distinct people, average and median stay, auto-closed, manually added, voided and attempts without access; a per-unit table with the same values and an occupancy heat map. The map shows how many people were inside on average by weekday and hour (total time inside in that hour ÷ how often the hour occurs in the range); the busiest hour is named above it.
  • Personnel: entries, total and average stay, auto-closed stays and how long each person spent in each unit.
  • Contact tracing: pick a unit and two instants (date and time); everyone who was inside in that window is listed with entry and exit times and the time spent inside the window. Even a brief encounter counts as at least 1 minute, and people still inside are listed too. At most 31 days. Use it in infection control to find the contacts of a case.

Excel downloads the chosen range and unit with Summary (indicators and a weekday × hour table), Units, Personnel and Records sheets; a contact tracing result downloads as its own Excel. Every download is written to the audit log.

Alerts

Unit entry and exit → Module management → Alerts has four rules; turn each on and pick its channels (in-app, e-mail, SMS). They go to managers with Unit records:

RuleWhen
Capacity reachedWhen an entry fills the unit or someone tries to enter a full unit; at most once per unit and hour
Long stay in a unitWhen a stay reaches the reminder share of the maximum stay, together with the reminder to the person
Closed automaticallyWhen a stay closes automatically at the maximum stay
Entry attempt without accessWhen someone outside the unit's audience tries to enter; once per person, unit and day

The Inside units now card on the admin home page shows how many people are inside units, full units and long stays; it opens Unit records.

Unit door display

A live display at a location that is a unit point can run in unit door mode: in Displays → Change output, tick Unit door mode. Above the live QR the display shows each unit at this point with its colour and name, people inside (with capacity), the door direction (entry, exit or both), the PDKS requirement and the status (Open, Full, Closed). No names are shown; the numbers update as the QR refreshes. This mode uses the panel layout instead of a poster template.

What staff see

When staff scan a location with points, the Unit entry and exit card appears on the staff panel. It shows the unit they are inside and since when, or the units here. Opening it shows each unit's occupancy with Enter / Leave, and a note when they are inside another unit. My unit visits lists the units they are inside now and the last 30 days, with why each stay closed.
