Cafeteria
Cafeteria meal records; meals, cafeterias, service hours, access by personnel group, manual records and voids, reports, the monthly meal timesheet and Excel.
- Admin panel
- Staff panel
- Mobile app· staff
The cafeteria module is a one-tap meal record: staff scan the cafeteria's QR code, live display or NFC tag and tap I had my meal. The button only shows during the service hours you plan for that cafeteria. Each person can record each meal once per operational day; a second record is refused, even at another cafeteria. Admins follow the records organisation-wide, per cafeteria and per person, add a missed meal with a note, void a wrong record with a reason and download the monthly meal timesheet as Excel. The module does not calculate prices, meal costs or payroll deductions; it only counts meals. The cafeteria module arrived in EnaFeedback 2.5.0 Requires: EnaFeedback 2.5.0 and EnaFeedback Mobile 1.13.0 Requires: EnaFeedback Mobile 1.13.0.
For the screens staff see, read Recording a meal.
Required permissions
| Permission | What it allows |
|---|---|
| Cafeteria records and reports | The Records and reports screen: overview, cafeterias, records, timesheet and Excel. |
| Cafeteria record management | Adding records manually, voiding records, locking and unlocking a month. |
| Module management (Cafeteria) | Cafeteria settings: meals, cafeterias, service hours, access, day start and the staff card. |
| Personnel management | Personnel groups (Personnel management → Groups). |
The three cafeteria permissions belong to the Owner and Administrator roles. Staff need no special role: anyone with an active personnel record and a personnel code can record meals at a cafeteria they may use.
Setup
Review the meals
Cafeteria → Cafeteria settings → Meals holds the organisation's list of meals. When the module is first opened, Breakfast, Lunch, Dinner and Night breakfast are created in the organisation's language. You can rename, recolour and reorder meals, add one (for example, Snack) or set an unused meal to inactive. A meal used by service hours cannot be deleted; remove those windows first. Past records of inactive or deleted meals stay in the reports.
Add cafeterias
Use Add cafeteria to turn an existing location into a cafeteria. The list is grouped by building and shows the floor and unit; no separate QR code or NFC tag is needed, the location's own points are used. A location can be a cafeteria only once. Removing a cafeteria does not delete the location; its service hours and access settings are deleted and past records keep the cafeteria name.
Plan the service hours
Choose a cafeteria and draw each meal's service window on the Regular days and Holidays tabs. The editor is the same shift editor as in the cleaning plans: drag a window to move it, resize it from its edges, and double-click or right-click an empty area to add one. On a phone, the List view works with time fields. The rules:
- One window per meal.
- Windows may not overlap and last at least 15 minutes; times snap to 5 minutes.
- A window may not cross the day start time.
Holidays are the days not marked as working days under System management → Working hours & holidays, plus public holidays; the cleaning plans use the same calendar. Copy from regular days copies the regular windows to holidays. If holidays are left empty, no meals can be recorded on those days.
Set access
On the Access tab you can open or close the cafeteria and choose who may use it: All active personnel or Only chosen groups. Groups are created under Personnel management → Groups (for example, "Shift A" or "Contractors"). Staff without access do not see the cafeteria card at that location at all.
Adjust the general settings
Under General settings:
- Day start time (default 04:00): a meal before this time counts for the previous day. A night shift's 02:00 night breakfast is thereby written to the day the shift started.
- Staff card: the card title and subtitle staff see on the web and in the mobile app.
- Location session: with Verification required on, only a verified location session (the live display's dynamic QR or an NFC tag read with the mobile app) can record; with Fresh session required on, the record must come within 5 minutes of the scan.
Why one record per meal per day?
Allowing each meal only once per operational day stops the same meal from being counted twice at different cafeterias or from the web and a phone. The rule is also enforced by the database, so of two simultaneous taps only one is saved. After the meal is recorded, the card shows that it was taken, the time and the cafeteria.
Records and reports
Cafeteria → Records and reports lists All personnel on the left, followed by the people with meals in the chosen date range. Pick the date range, and the cafeteria if you have more than one, at the top.
- Overview: total meals, personnel, daily average and cafeterias used; meals per day and meal, the meal distribution, meals by cafeteria and the day × hour density (in the organisation time zone).
- Cafeterias: per-meal counts, personnel and the total for each cafeteria.
- Records: the record list with cafeteria, meal, source (Staff web, Staff mobile, Admin) and status filters; manual records and voids are done here.
- Timesheet: the monthly meal timesheet.
Manual records and voids
Add a meal the person could not record with Records → Add record manually: person, cafeteria, meal, day, time and a required note. The day is the operational day the meal counts for; for night meals the time can fall on the next calendar day. A manual record is stored with the "Admin" source, the person who added it and the note. If the person already has that meal on that day, the manual record is refused too.
Void a wrong record with Void and a reason. A voided record is not deleted; it is left out of counts and the timesheet and shows under the Voided filter with the reason and who voided it. Voiding lets the person record that meal again. Manual records and voids are written to the audit log.
Monthly meal timesheet
On the Timesheet tab, rows are personnel and columns are the days of the month. Each cell shows the initials of the meals taken that day in the meal's colour (for example, B L). Non-working days and public holidays are shaded. Each row ends with the month's count per meal and the total; the bottom row has the daily and organisation totals. Narrow the grid by cafeteria, personnel group and name; select a person to open their month.
- Excel: downloads a workbook with three sheets: the timesheet, a summary and the records (sheet names are in Turkish: Puantaj, Özet, Kayıtlar).
- Lock month: in a locked month, records cannot be added or voided, and the Excel title says the month is final ("Kesinleşmiştir"). The lock can be removed with the record management permission.
The meal timesheet is separate from the attendance timesheet; neither affects the other.
Data
A meal record holds the person, cafeteria, meal, operational day, time of record, source, whether the location session was verified and fresh, and any manual-record or void details. Cafeteria and meal names are stored with the record, so later renames do not change past records. No biometric data is kept.
