Getting started

Quick start

Your first steps in EnaFeedback - run the setup wizard, add buildings and locations, print QR posters, invite users and receive your first feedback.

Last updated:

EnaFeedback is a platform for physical places such as hospitals, campuses and public buildings. It brings visitor feedback, hygiene ratings, tickets and field team logs together in one place. Visitors scan a QR code at a location and respond without an account, and you follow everything in the admin panel. This guide walks you from an empty environment to your first piece of feedback.

Required role and prerequisites

  • Only a user with the Owner role can run the setup wizard.
  • Owner or Administrator is recommended for creating buildings and locations, downloading posters and inviting users.
  • To try the visitor side, you only need a smartphone that can scan QR codes.

Step by step

Complete the setup wizard

Before you start using the panel, the Owner completes the 8-step wizard once: preflight checks, organization details, language, logos, brand color and optional demo data. The organization language cannot be changed after setup, so choose it carefully. See Setup wizard for details.

Create buildings and locations

In Organization → Buildings, you build your structure on four levels: Building → Floor → Unit → Location. For example, "Main building → 2nd floor → Outpatient clinics → B-block 2nd-floor restroom". With bulk add, you paste one name per line and add up to 100 records at once. Each location automatically gets a unique 6-character code.

Download and put up QR posters

From the location's actions, use Download poster to get a PDF poster. To use your own design, first create a poster template under Organization → Templates. For many locations, posters can be downloaded in bulk as a ZIP file of up to 100 locations. Before putting a poster up, check the code with QR test in the location's actions.

Invite your colleagues

In System → Users, invite people by email and assign their roles. The invitation link is valid for 7 days. Field staff who do cleaning and inspections are not added here; add them under Personnel → Personnel.

Review your modules

Under System → Module management, review the settings for the feedback, hygiene, check-in / check-out, cleaning and control modules. If you do not want a module to appear at certain locations, you can opt those locations out. Only the Owner and Administrator can change module settings.

Send your first feedback

Scan the QR code on a poster with your phone and choose the Send feedback tile on the visitor screen. Pick a category, enter a subject and a message, then submit. The screen shows a Request code (a code starting with FB). Then open the record in the admin panel under Feedback → Feedback. Every feedback record automatically gets a ticket.

Tips

Try it with demo data

If you choose a demo data profile in the setup wizard, you can explore reports and screens without entering real data. Demo data can only be chosen during setup.

  • Name locations so visitors and field staff recognize them; names under the same parent must be unique.
  • The Home dashboard shows unread feedback, hygiene ratings and team inbox counts on one screen.
  • Route your first ticket to a resolution team to try the whole flow end to end.

Common mistakes

  • Choosing the organization language in a hurry: the language is locked after setup.
  • Putting up posters without testing: scanning the code of an inactive location shows "Location is inactive".
  • Inviting field staff as users: field staff are added in personnel management, not user management.
