Staff panel

The staff panel is the web screen where field staff sign in with a personnel code from a phone browser to log cleaning, control, attendance and messages.

Applies to:
  • Staff panel
Last updated: Verified with EnaFeedback 2.3.0

This article was verified with an older release. Screen names or steps may differ in the current version.

The staff panel is the EnaFeedback web screen that field staff open in their phone's browser. It needs no installation: staff sign in with their own personnel code, scan the location's QR code, and use cleaning logs, control logs, check-in / check-out, staff feedback, staff surveys and staff pages. They read and answer incoming messages in the message center. The panel lives at /staff on your organization's EnaFeedback address, and staff can add it to their home screen as "EnaFeedback".

Most of the same work can also be done in staff mode of the EnaFeedback mobile app. The differences are listed at the end of this article.

Required role, permission and version

  • The person needs a New or Active record in Personnel management. Signing in needs a personnel code; without one, the person can request it themselves.
  • Cleaning logs need the Cleaning role and control logs the Control role. Staff without a role use check-in / check-out, feedback, surveys, pages and the message center.
  • Versions: separate staff sign-in page 2.1.57, quick sign-in and the 12-hour session 2.1.52, separate code request step 2.1.96 Requires: EnaFeedback 2.1.96, message center and bell 2.2.0 Requires: EnaFeedback 2.2.0, home-screen app named "EnaFeedback" 2.3.0 Requires: EnaFeedback 2.3.0.

Getting to the panel

Staff reach the panel in three ways:

  • By adding /staff to your organization's EnaFeedback address in the browser. Without a session, the Staff sign-in page (/staff/login) opens.
  • With the Staff hub button in the bottom bar of the visitor screen.
  • By scanning a location's QR code while the staff session is open. With an open session, the QR code opens the staff panel instead of the visitor screen.

Signing in

Open the sign-in page

The Staff sign-in page shows the Personnel code card.

Enter the code

Type the 4-character code you received in the Code field and tap Sign in. If you saved your phone earlier, tap Quick sign-in instead of typing the code.

After more than 10 failed attempts with the same code within 15 minutes, sign-in is temporarily locked.

At the bottom of the sign-in page, the Mobile app card has a Download app link. It opens the mobile app page on www.enafeedback.com with your organization code. The mobile app is in internal testing and coming soon to the stores.

Getting or renewing your personnel code

Requires: EnaFeedback 2.1.96

Staff who never received a code, or forgot it, can request a new one without an admin.

Open the code page

On Staff sign-in, tap Get/forgot personnel code. The Get personnel code page (/staff/login/recover) opens.

Enter your details

Choose Email or Phone and enter the address or number in your personnel record.

Request the code

Tap Send personnel code. If the details match, a new code arrives by email or SMS. For security, the screen does not say whether there was a match. Use Back to sign-in to return.

A new code replaces the old one

When the new code arrives, the old code stops working, your saved quick sign-in devices are revoked and your open staff sessions end. You need to wait about 3 minutes before requesting again with the same details; the screen shows the remaining time. Inactive staff cannot request a code and should ask their manager.

Quick sign-in (trusted device)

Quick sign-in lets you save your phone once and then unlock with its face recognition, fingerprint or screen lock (a passkey) instead of typing the code.

Save your phone

After signing in with your code, tap Save this phone on the Quick sign-in card in the panel and confirm with the phone's lock.

Use it next time

On Staff sign-in, tap Quick sign-in and unlock your phone.

  • Each person can save up to 5 devices. Saved devices are listed on the card with their last use; Forget this device removes one.
  • Do not save quick sign-in on a shared tablet.
  • If the browser does not support passkeys, the card says "This browser can’t use the lock. Use your code."
  • An admin can revoke a person's devices on the Personnel → Personnel screen. Renewing the code, deactivating or deleting the person also revokes them.

Session lengths

There are two separate sessions:

SessionLengthWhen it ends
Staff session (who you are)A fixed 12 hours from sign-in; activity does not extend it. The remaining time shows as Session left.Sign in again with your code or quick sign-in.
Location session (where you are)Up to 30 minutes from the QR scan; it ends earlier if the tab stays in the background for more than 15 minutes.Scan the QR code again.

The staff session survives closing the browser for those 12 hours; QR codes scanned in that time do not ask for the code again.

Choosing a location

Location session

Scan the QR code or NFC tag

The poster, tag or live display where you are

A location session opens

Valid for 30 minutes; ends if the app stays in the background for 15 minutes

Location tasks open

Check-in / check-out, cleaning log, control log

Scan again when it ends

A new scan opens a new session
An NFC-verified session opens only in the EnaFeedback mobile app; devices without NFC hardware use the QR code.

Cleaning, control and check-in / check-out need to know where you are. Scan the QR poster or the QR code on a live display with your phone camera. Once a location is chosen, your name and the location name appear at the top of the panel.

  • Without a location, the panel shows Location required and a "Select a location first" card.
  • If your organization publishes staff surveys, staff pages or staff feedback, these open without a location too; a note at the bottom says "Scan a QR code to open cleaning and other location tasks."
  • If Verification required or Fresh session required is on in a module and not met, its card appears locked. The dynamic QR on a live display counts as a verified location; a printed poster does not. Details: Cleaning and control logs.

What you can do in the panel

After you choose a location, Quick actions shows these cards, depending on your roles and your organization's settings. Your organization may have renamed them.

CardWhat it does
Create cleaning recordCreates a cleaning log with Cleaning done. Only with the Cleaning role.
Create control recordHas you tick the checklist, shows Quality preview and saves with Checked. Only with the Control role.
Check-in / check-outCheck in, Check out and I forgot to check out, plus Session history. Details: Attendance.
FeedbackSends staff feedback about your workplace.
Take a surveyOpens published staff surveys. With only one survey, it opens that survey directly.

Below the cards, the Staff pages section shows the content pages your organization published for staff.

You can create the same type of log at the same location once every 30 minutes; until then, the card shows the remaining time. Without a role, the panel notes that "This account has no cleaning or control role"; check-in / check-out still works.

Today's plan card

On the cleaning or control screen, the Today’s cleaning plan card (for control, Today’s control plan) shows:

  • The plan that applies (global or custom) and the Operational day
  • Daily goal and My contribution; for control, Day average quality
  • The status of each shift: Upcoming, Not started, In progress, Complete or Missed, and the logs in it

Without a plan for the location, it says "There is no cleaning plan for this location." Admins set up plans in Tracking plans.

Message center and bell

Requires: EnaFeedback 2.2.0

The bell at the top of the panel shows the number of unread messages and opens the Message center page (/staff/messages).

  • Tabs: All, Alerts, Announcements, Messages. Folders: Inbox, Starred, Archive, Sent.
  • Open a message to Reply, Star or Archive it. Mark all as read marks every message as read.
  • With New message, choose recipients from Managers or Colleagues and write a subject and message. Attach files adds attachments. Messages staff write are delivered in the app only; no email or SMS goes out.
  • Check-in / check-out reminders arrive under Alerts. The message detail has I'm still here and Go to attendance; the alert strip on the check-in / check-out screen also has Check out.

See Staff messages.

Adding the panel to your home screen

Requires: EnaFeedback 2.3.0

You can add the staff panel to your phone's home screen like an app. The shortcut appears as "EnaFeedback" with the EnaFeedback icon, opens full screen and goes straight to the staff panel.

  1. Open the staff panel in Safari.
  2. Tap Share at the bottom.
  3. Choose Add to Home Screen and confirm with Add in the top right.

Menu names can vary by browser version. The Download button in the panel's bottom bar does not add the panel to your home screen; it opens the mobile app page.

Language

The staff panel opens in your organization's default language (Turkish or English); there is no language picker in the panel. The language of emails and SMS sent to staff follows each person's Message language (Personnel management).

Signing out

On the panel's home page and on the sign-in page, the Secure sign-out button in the bottom bar ends the staff session on this device. If you used a shared device, always sign out when you finish. The bottom bar also shows the server time used for records.

Only in the mobile app

In turn, quick sign-in (passkey), the 12-hour staff session, the today's plan card and adding to the home screen exist only in the web staff panel. Full list: Only in the staff panel.

Known limits

  • There are no push notifications. Follow new messages through the count on the bell, or by email or SMS.
  • In a browser, NFC tags do not give a verified location; for modules with Verification required, use the dynamic QR on a live display or the mobile app.
  • Staff cannot delete or edit their own records, and cannot see their own working hours on the web.
  • The panel language is fixed to the organization language.

Common mistakes

  • The code is rejected: if you received a new code, make sure you are not using the old one. After too many failed attempts, wait 15 minutes.
  • No code arrives: ask your manager to check the email or phone in your record; Inactive staff cannot get a code.
  • No cleaning card: no location is chosen, you lack the role, or the module is off at this location.
  • Quick sign-in fails: if your code was renewed, your device was revoked. Sign in with the code and save the phone again with Save this phone.
