Attendance

How field staff check in and out at a location, use I forgot to check out, and how admins review verified attendance with Excel and PDF exports.

Last updated:

Attendance (Check-in / Check-out) is the module where field staff record when they start and finish work at a location. A staff member scans a location and checks in, then checks out when done; EnaFeedback records the duration, the check-in and check-out locations, and whether those locations were verified. It is not a timesheet or payroll system. Its purpose is to make on-site presence visible.

Required role

  • Staff need no special role to check in and out. Staff without the Cleaning or Control role (shown with the "Personel" badge) can use it too.
  • To review records in the admin panel, you need Owner, Administrator or Hygiene manager.
  • The staff member needs an active personnel record and a personnel code.

Statuses

StatusMeaning
OpenChecked in, not yet checked out.
CompletedChecked out; the duration is recorded.
ForgottenClosed with "I forgot to check out"; excluded from duration statistics.

How staff check in and out

Scan the location and check in

At the location where they start work, the staff member scans the QR code, live display or NFC tag, signs in with their personnel code or Quick sign-in, and checks in from the staff hub.

Check out

When finished, they scan a location again and check out. The check-out location does not have to match the check-in location; both are recorded separately.

Close a forgotten session

Staff who forgot to check out last time close the open session themselves with I forgot to check out before checking in again. The session is marked Forgotten.

Rules

  • A person can have at most one open session at a time.
  • Open sessions are not closed automatically. If nobody checks out, the session stays open until the staff member checks out or uses "I forgot to check out".
  • For both the check-in and check-out location, EnaFeedback stores whether the session was verified (an NFC trust token read by the mobile app, or a live display's dynamic QR) and fresh (within 5 minutes of the scan).

Why forgotten sessions are kept apart

The real end time of a forgotten session is unknown. Leaving these sessions out of duration statistics keeps average working times from being inflated. The forgotten rate is shown as its own measure in the reports.

Reports

In the admin panel, open Check-in / Check-out → Check-in / check-out records to see:

  • Overview
  • Records per person
  • Records by location
  • Check-in locations
  • Per-person statistics, including verified, fresh and forgotten rates

Export the reports to Excel or download a PDF summary.

Alerts

Alert rules exist for check-in, check-out and forgotten check-out. A night shift supervisor, for example, may want to know when a staff member forgot to check out. These rules are off by default; when turned on, the default channels are email and in-app.

Tips and common mistakes

  • Cannot check in: the person may still have an open session. They need to check out or use "I forgot to check out" first.
  • Need proof of presence: place NFC tags or a live display with a dynamic QR at check-in points so records are marked as verified. NFC verification works only in the EnaFeedback mobile app.
  • High forgotten rate: build a check-out habit into the end-of-shift routine. The system does not close sessions on its own.
