Trainings and events
Training and event attendance; date, time and check-in window, place, audience, mandatory training, capacity, publishing, per-event analysis, Excel and a signature list.
- Admin panel
- Staff panel
- Mobile app· staff
The trainings and events module lets staff confirm, with a single record, that they attended a training or an event (for example a civil defence drill, fire training or hand hygiene training). Each event has its own date, time and check-in window. Staff scan the QR code, live display or NFC tag of the location where the event takes place and tap I attended; each event takes one record per person. Unlike the cafeteria, nothing repeats: the event ends, the check-in window closes and the result stays in that event's analysis. The module needs EnaFeedback 2.8.0 Requires: EnaFeedback 2.8.0 and EnaFeedback Mobile 1.15.0 Requires: EnaFeedback Mobile 1.15.0.
For the screens staff see, read Training attendance.
Required permissions
| Permission | What it gives |
|---|---|
| Training records and analysis | The Records and analysis screen: overview, attendance per person, event analysis, Excel and the signature list. |
| Training record management | Adding attendance manually, voiding records, locking an event and unlocking it. |
| Training and event planning | Creating, editing, publishing, duplicating and cancelling events. |
| Module management (Trainings and events) | The Module management page (staff card, location proof defaults, reminder, lateness, alerts); also covers planning. |
The four permissions belong to the Owner and Administrator roles. The Training coordinator role has records and analysis, record management and planning, but not module management. Staff need no special role.
Creating an event
On Trainings and events → Trainings and events, the list on the left shows events with the Current (drafts, upcoming, check-in open), Ended, Cancelled and All filters. Each event has a colour shown in the list, the reports and the staff card. The first event in the list opens when the page loads.
Enter the essentials
Select New training or event. In the dialog, pick the colour (a new event starts with the palette's next colour) and enter the title, date, start and end time (an event starts and ends on the same day and lasts at least 15 minutes; it cannot run past midnight), at least one location and who can attend (All active personnel or Only chosen groups). Create draft saves the event as a draft and opens it; staff do not see drafts.
Complete the details
On the Details tab, edit the trainer or organiser, the description and the check-in window (Check-in opens, default 30 minutes before the start; Check-in closes, default at the end). If needed, turn on Verified scan required (only the live display QR or NFC with the mobile app counts; a photo of a printed QR does not work) and Fresh session required (within 5 minutes of the scan). A new event starts with the module defaults for these two settings; if the event differs, Module default shows under it and Back to default restores it.
Review the audience and rules
The top of the Audience tab shows, based on the saved setting, how many active staff the event is for. For mandatory training, turn on Mandatory; add a Capacity if you want one.
Publish
When it is ready, select Publish in the toolbar. With Send an inbox announcement to the audience, everyone gets a message in their language with the date, time and place.
Time, place and audience can change until the check-in window closes. After that, only the title, colour, trainer and description change. A published event can be cancelled before it ends; existing records are kept. Drafts can be deleted. Duplicate copies the event one week later as a new draft; use it for recurring training.
Why is the audience stored?
When the check-in window closes, the eligible active staff at that moment are stored. The attendance rate uses that list, so later changes to group membership do not change a past event's rate. Before the window closes, the audience is computed live.
Records and analysis
On Trainings and events → Records and analysis, pick the date range at the top. The left side lists All events and the events in the range.
- Overview: events and mandatory events, total attendances, staff who attended, the average attendance rate of ended events and the mandatory training attendance rate, and a table of every event with its audience, attendees and rate.
- Personnel: per person over events that ended in the range, the events they were in the audience of, the events they attended and the mandatory events they missed.
Until the event ends, the analysis is live. The attendance rate is the share of the audience that attended; records added manually for people outside the audience count as attendees but do not change the rate. Manual records are not part of the arrival times.
Manual records, voids and locking
Once check-in has opened, you can add a person on the Records tab with a required note (for example "on the paper signature list"). Someone outside the audience is marked Outside the audience. You void a wrong record with a reason; a voided record is not deleted but no longer counts. In both cases the person gets an inbox message. Lock an ended event to stop new records and voids; Unlock reverses it.
Excel and the signature list
The Excel file has the Summary, Attended, Missed and (when there are any) Voided sheets. Signature list opens a printable page with attendees and those who missed it in name order and an empty signature column.
Messages and alerts
| When | To whom | Channel |
|---|---|---|
| On publish (optional) | The audience | Inbox |
| Before the start (default 60 minutes) | Staff in the audience who have not checked in | Inbox |
| When a mandatory event ends | Those who missed it | Inbox |
| Manual record or void | The person concerned | Inbox |
| When the check-in window closes | Administrators with the training records and analysis permission (if the Attendance summary rule is on) | The rule's channels |
Staff messages are in each person's language (Turkish, English, German, Arabic); the mobile app shows a notification if allowed.
Module management
On Trainings and events → Module management:
- Preview: the card and the event screen staff see.
- Interface: the card title and subtitle. Default texts show in the staff member's language; custom texts are translated with AI.
- Rules: Default for new events for location proof (existing events do not change; each event applies its own setting), the reminder (none, 15 minutes – 1 day) and when a check-in counts as late (default 10 minutes).
- Alerts: the Attendance summary rule and its channels.
Common situations
- Staff do not see the card: the event is not published, the check-in window is not open, or the scanned location is not one of the event's places.
- "You cannot check in to this event": the event is open to chosen groups and the person is not in them. These scans count as Denied scans in the event analysis (no names).
- The event is full: no new check-ins are accepted; raise the capacity before the window closes if needed.
- No card in the mobile app: the event card came with EnaFeedback Mobile 1.15.0; older versions do not show it, and staff can use the web staff panel.
