Roles and permissions

EnaFeedback has 7 admin roles and 35 permissions in 11 groups. See what each role can access, which permissions are owner-only and how staff roles work.

Last updated:

Roles decide which screens a user can see and which actions they can take in the EnaFeedback admin panel. There are 7 built-in admin roles, with 35 permissions spread across them. You can give a user more than one role; the user then has the permissions of all their roles combined.

Required role

  • You need the Owner or Administrator role to assign and change roles.
  • Only another Owner can grant or revoke the Owner role.

The 7 admin roles

RolePermissionsWhat it can do
Owner35 (all)Everything, including the 5 owner-only permissions
Administrator30Everything except the 5 owner-only permissions
Hygiene manager11Hygiene reports and their analysis, cleaning and control log analysis, cleaning and control plans, personnel management, attendance analysis, staff cleaning and control performance, team inbox
Feedback manager5Feedback handling and analytics, resolution team management and performance, team inbox
Survey manager3Survey management and analytics, team inbox
Page manager3Content page management and analytics, team inbox
Team member1Team inbox only

A Team member sees only the tickets routed to resolution teams they belong to. After giving someone this role, also add them to a team under Resolution team → Resolution teams.

35 permissions in 11 groups

Permissions are organized in 11 groups that follow the admin menu:

  • Organization
  • Personnel
  • Hygiene report
  • Feedback
  • Resolution team
  • Check-in / Check-out
  • Cleaning logs
  • Control logs
  • Surveys
  • Pages
  • System

You can see which role holds which permission in the read-only Roles and permissions matrix. The matrix is for reference only: role contents are fixed, and you cannot add or remove individual permissions. To change what a user can access, you assign different roles.

Owner-only permissions

These 5 permissions belong only to the Owner role; an Administrator cannot use them:

  • Integrations
  • License
  • Software support
  • Maintenance and backup
  • NFC settings (writing, verifying and locking NFC tags in the mobile app)

Permissions to change module settings (hygiene, feedback, attendance, cleaning and control modules) belong only to the Owner and Administrator roles.

Rules for the Owner role

Only an Owner can grant or revoke the Owner role or send an invitation with it. The last Owner in an organization cannot be removed. In the English interface, this role may still appear as "Sahip".

Field staff roles are separate

Field staff who do cleaning and inspections are not admin users and do not get these 7 roles. They are added under Personnel → Personnel, sign in with a 4-character personnel code, and can hold one or both of these roles:

RoleWhat it allows
CleaningCreating cleaning logs
ControlCreating control (inspection) logs
No role (shown with a staff badge)Only check-in / check-out, staff feedback, staff surveys and pages

Tips for choosing roles

  • Use least privilege: give a unit supervisor only the role they need, such as Hygiene manager, instead of Administrator.
  • Combine roles: someone who runs both surveys and content pages can hold Survey manager and Page manager together.
  • Keep at least two Owners: access to integrations, license and maintenance settings is not lost when one Owner leaves.
