Hygiene and fault tracking in sports facilities and stadiums

A guide to QR hygiene ratings in changing rooms and pools, member fault reports with request codes, match-day alerts and multi-facility setups.

ENA Innovation Team5 min read

What members remember about a sports facility is often not the gym floor but the state of the changing rooms and showers. At a stadium, spectators remember the restroom they used at half-time as much as the game. This guide covers how gyms, swimming pools and stadiums can measure wet-area hygiene with ratings from members and spectators, track locker, shower and equipment faults with request codes, and catch match-day problems before the final whistle.

Why problems surface late at sports venues

  • Members complain about changing room or shower cleanliness at the front desk, and the complaint never makes it into a record.
  • Cleaning frequency in wet areas such as the pool deck, sauna and steam room cannot be proven.
  • Reports of a broken locker, a shower that does not work or a faulty treadmill never reach maintenance, or get lost.
  • On match and event days thousands of spectators use the same restrooms, and problems surface after the game.
  • Municipal sports departments cannot compare service levels across many facilities on the same measures.

Changing rooms, showers and pools: ratings in wet areas

Place QR codes or NFC tags in changing rooms, showers, around the pool and at the sauna entrance. In wet areas, hang posters where they are easy to see and away from water and steam. Members scan the code with the phone camera, and the form opens in the browser with no app or account. They rate cleanliness on a five-point scale and can add a short comment and a photo.

The score is stored with that area: which changing room or shower block at which facility. When you switch on the "Rated 1" and "Rated 2" alert rules, the person in charge sees the alert in the in-app message center, plus email or SMS if you add them.

Set up hourly cleaning and inspection plans for wet areas. Staff tap the NFC tag in the area with the EnaFeedback mobile app to log their work. With "Verification required" on, a log can only come from a session opened by that tag (or by the rotating QR on a live display); "Fresh session required" means the log must be made within 5 minutes of the scan. Plan compliance is reported as a percentage, and you can see which changing room missed which round.

EnaFeedback does not record pool water chemistry; there is no module for entering measurements. Pool inspection rounds can be kept as inspection logs with checklist items. The quality percentage is calculated automatically, and an alert rule covers results below 70%.

Member faults: request codes for lockers, showers and equipment

A broken locker lock, a shower with no hot water, a faulty treadmill or air conditioning that does not work. The member sends the report from the QR code in that area, so it arrives with its location. They choose request, suggestion, complaint or thanks and can attach a photo. There is no need to describe where they are.

After sending, the member gets a request code and follows the status as "New," "In progress" or "Closed." If they left contact details, they get an email or SMS when the status changes. Complaints open at high priority automatically.

Facility management routes the request with a note to the maintenance team. Team members see it in their inbox and in the mobile app, add notes and close it with a recorded result. Reports show which lockers break again and again and how long each team takes to reach an outcome.

Match and event-day alerts

Place QR points in stadium restrooms, concourses and concessions. Spectators rate cleanliness or report a problem. With an alert rule for scores of 1 or 2 or for complaints, the person in charge of that section hears about it during the game. On event days, make section supervisors alert recipients; a supervisor can also follow only the restrooms in their own stand and get reports for those locations.

In a crowd, the same problem can be reported many times. The same message from the same location is not accepted twice within 15 minutes, so repeats do not flood the list. Each submission is recorded at its own location.

After the event, reports show scores by section and hour. You see which restrooms dropped at half-time and adjust the cleaning plan for the next game.

Municipal sports departments with many facilities

Municipal sports departments and gym chains set up each facility as its own building in the location hierarchy, with changing rooms, the pool, studios and stand sections under it. Hygiene scores, plan compliance and ticket resolution times are compared facility by facility. Reports export to Excel.

You can publish short surveys on classes and trainers; responses are stored with the studio where they were given. AI sentiment analysis marks the tone of every comment.

Next to the form, the same QR code can open content pages with the class schedule, pool hours and facility rules. Screens at the entrance can be paired as live displays, and short announcements such as pool maintenance show on QR pages and on the screens. The visitor interface is available in Turkish, English, German and Arabic.

Four steps to set it up

  1. Define facilities and areas. Add each facility as a building, with changing rooms, the pool, studios and stand sections under it.
  2. Place QR posters and NFC tags. Put posters where they suit wet areas, and write NFC tags for cleaning rounds.
  3. Set up plans and teams. Define hourly cleaning plans and the maintenance and cleaning teams, and turn on the verification settings.
  4. Turn on alerts and measure. Make section supervisors alert recipients on event days, and review scores and plan compliance every week.

Frequently asked questions

Do members or spectators need to download an app?

No. They scan the QR code with the phone camera or tap the NFC tag, and the form opens in the browser. Submissions are anonymous by default.

Does it integrate with our membership or turnstile system?

No, there is no integration with membership, ticketing or turnstile systems. Feedback is matched to the location the QR code belongs to.

If the stadium network is busy, are logs sent later?

No. The app has no offline mode; the visitor form and the staff app need an internet connection, and each record is written to the server right away.

How does pricing work?

We offer one unlimited plan with all features, priced on request. A free trial account opens about 2 hours after your request.

Conclusion

At a sports facility, service quality is judged in the changing room; at a stadium, in the restroom behind the stand. The QR rating makes wet-area problems visible right away, the request code shows members what happened to their fault report, and NFC rounds prove the cleaning was done.
