A digital suggestion box and canteen survey for factories: employee feedback by QR

A guide to turning the empty factory suggestion box into an anonymous, trackable QR channel, with canteen surveys, shift cleaning and contractor timesheets.

ENA Innovation Team6 min read

The most practical way to hear employees in a factory is to move the suggestion box onto their phones. QR codes in the canteen, break areas and changing rooms collect suggestions, requests, complaints and thanks anonymously, send each one to the right department and let the employee follow what happens next. The same points also run the canteen survey, changing room and restroom cleaning, and contractor staff attendance. This guide shows how to set it up in a manufacturing site.

Why does the suggestion box stay empty?

Most factories have a suggestion box, and most of them go unused. The reasons are usually the same:

  • The box is never opened or stays empty for months; employees do not know who reads it.
  • Nobody who leaves a note hears back. It is unclear whether the idea was ever considered, so next time nobody writes.
  • Paper notes rarely say which changing room, hall or shuttle stop they are about.
  • Employees who speak other languages struggle to raise problems.

The problem is not the box. It is that there is no process behind it. A digital suggestion box builds that process.

A digital suggestion box: anonymous and trackable

An employee scans the QR code in the canteen or changing room with their own phone. The form opens in the browser, with no app to install and no account. They choose request, suggestion, complaint or thanks, write a short message and can add a photo or voice recording. Submissions are anonymous by default, and contact details are optional.

The record reaches the admin panel with the location the QR code belongs to. Priority is set automatically by category: complaints arrive at high priority, requests as priority, suggestions and thanks as normal. The record is routed with a note to HR, administration or maintenance, and the team closes it with a recorded result when the work is done.

For the employee, the difference is this: after sending, they get a request code and follow the status as "New," "In progress" or "Closed" themselves. If they left contact details, they get an email or SMS when the status changes. Nobody has to wonder what happened to their note.

Facility requests such as air conditioning, lighting, shuttles or lockers come through the same channel, with the location attached. Requests that used to arrive through scattered channels end up in one list.

The canteen survey: talk to the caterer with data

Canteen complaints are usually shared between shifts but never reach the catering company as hard data. A short survey after meals changes that.

The survey can ask about taste, portions, temperature and hygiene, using question types such as Likert scales, single and multiple choice, and short or long answers. Responses are analyzed by date and canteen, results export to Excel, and you bring them to your monthly meeting with the catering company. If you run more than one canteen, set each up as its own location and compare them.

AI sentiment analysis marks the tone of comments, so negative ones stand out in a long list. The weekly menu and announcements can be published on content pages opened from the QR and on live displays at the canteen entrance.

Changing rooms and restrooms: cleaning around shift changes

Changing rooms, showers and restrooms get busy before and after shift changes, and that is exactly when cleaning slips. Set up shift-based cleaning and inspection plans for these areas.

  1. Build the plan. Define how many cleaning or inspection rounds each area needs in each time slot, and create a custom plan for the busiest areas.
  2. Log the work on site. Cleaning staff tap the NFC tag in the area to log their work. With "Verification required" on, a log can only come from a session opened by that tag or by the QR on a live display. NFC verification works in the EnaFeedback mobile app.
  3. Let employees rate. In the same areas, employees rate cleanliness on a five-point scale and can add a comment and photo.
  4. React to low scores right away. Set an alert rule for scores of 1 or 2 so the person in charge hears about it immediately.

Plan compliance and hygiene scores are reported by area and shift, checklists produce a quality percentage, and reports export to Excel and PDF. If plan compliance is high but scores stay low, it may be time to review shift frequency or the checklist.

Contractor staff: attendance and timesheets

Working hours of cleaning, security and catering contractors often rely on paper sign-in sheets. Instead, contractor staff scan the QR code, live display or NFC tag at a location at the start and end of each shift to check in and out.

You see who worked in which building and for how long, next to the cleaning logs. Staff get reminders about sessions left open, and auto-close can be set between 4 and 72 hours. An admin corrects forgotten check-outs with a note. The monthly timesheet exports to Excel and can support contractor invoicing. No biometric data is collected.

One limit, stated plainly: EnaFeedback is not occupational health and safety (OHS) software or your main time and attendance or payroll system, and it has no ready-made integrations with them. It keeps records of common area services and field staff.

Four steps to set it up

  1. Define buildings and areas. Build the location hierarchy for production halls, the office building, the canteen and social areas.
  2. Place QR posters and NFC tags. Print canteen and common area posters, and write NFC tags for cleaning rounds and attendance.
  3. Set up teams, plans and staff. Define HR, administration and maintenance teams, cleaning plans and contractor staff records.
  4. Turn on alerts and measure. Send complaint and low-score alerts to the people in charge, and review the canteen survey every month.

Frequently asked questions

Do employees stay anonymous?

Submissions are anonymous by default; employees leave contact details only if they want status updates. Your organization decides which contact fields and which consent text to use.

What if phones are not allowed on the production floor?

Place QR points where phones are allowed, such as the canteen, break areas and changing rooms. Those areas need mobile data or Wi-Fi coverage, since there is no offline mode.

Can international employees use their own language?

The visitor interface is available in Turkish, English, German and Arabic. With AI translation on, you can read comments written in these languages in the panel's language.

Can it be used for safety reports?

Employees can report hazards as a request or complaint, and the record is routed to the right team. But EnaFeedback is not OHS management software and does not replace your legal safety processes.

Conclusion

A good employee feedback system in a factory gets each suggestion to the right department and shows the employee the result. The digital suggestion box opens an anonymous, trackable channel, the canteen survey brings data to the caterer meeting, NFC logs document cleaning around shift changes, and attendance takes contractor timesheets off paper.
