Restroom hygiene tracking at fuel stations and rest areas

A guide to QR hygiene ratings in station restrooms, instant low-score alerts on the night shift and NFC-verified rounds for comparing stations.

ENA Innovation Team6 min read

For people on the road, the deciding factor in where to stop is often not the fuel price but whether the restroom is clean. A traveler who finds a dirty restroom simply stops somewhere else next time and never says why. This guide covers how fuel stations and rest areas can measure restroom hygiene with ratings from travelers, get low scores to the person in charge right away, night shift included, and log cleaning rounds with NFC so they cannot be filled in afterwards.

Why restroom cleaning slips at stations

  • The cleaning sheet behind the door is often filled in all at once at the end of the shift, with rounded times.
  • The night shift runs with few staff, and the till and pump islands come first; rounds get skipped and nobody notices.
  • Travelers do not complain, they just do not come back. The problem disappears without a record.
  • Area managers only see cleanliness across dozens of stations when they visit.
  • Prayer rooms, baby care rooms and accessible restrooms are easy to miss in audits.

Hygiene ratings at the restroom door

Put a QR code or NFC tag at every restroom entrance. Travelers scan the code with the phone camera, and the form opens in the browser with no app or account. They rate cleanliness on a five-point scale: very dirty, dirty, average, clean, very clean. If they want, they add a short comment and a photo. It takes a few seconds, and submissions are anonymous by default.

The score is stored with the station, the area and the restroom. Instead of "the restroom at the station was dirty," you know which restroom at which station, and at what time. The same rating from the same location is not accepted again within 5 minutes, which makes it hard for one person to skew the results.

The same QR points work for the prayer room and ablution area, the baby care room and the accessible restroom. Areas that get missed in audits become visible through traveler ratings.

Instant alerts, night shift included

Collecting scores is not enough on its own; a low score has to reach the right person right away. When you switch on the "Rated 1" and "Rated 2" alert rules, the shift supervisor you choose sees the alert in the in-app message center, plus email or SMS if you add them. A low score at 3 a.m. does not wait for the morning inspection.

Area managers can receive the same alert, or follow only their own stations and hear about every hygiene report there. If you set quiet hours for admin SMS, make sure they do not delay alerts meant for the night shift supervisor.

When an issue needs more than a cleaning round, such as a broken faucet or a drain that keeps clogging, the hygiene manager turns the report into a ticket in one click and routes it to the technical team. The ticket is closed with a result, so what was done stays on record.

NFC rounds that cannot be back-filled

Set up hourly or shift-based cleaning and inspection plans for each station, with the number of rounds needed in each time slot. Staff tap the NFC tag in the restroom with the EnaFeedback mobile app and log "Cleaning done"; the time and location are recorded automatically.

Two settings stop the sheet from being filled in later:

  • Verification required: a log can only come from a session opened by that NFC tag (or by the dynamic QR on a live display, which refreshes every 15 seconds). A photo of a QR code scanned somewhere else does not count.
  • Fresh session required: the log must be made within 5 minutes of the scan.

Used together, a log is created only when the staff member is in that restroom at that time. The app has no offline mode; each log is written to the server right away, and mobile data is enough.

Plan compliance is reported as a percentage. You can see at which station night rounds were skipped and which time slot fell short. Area managers record station visits with a checklist as inspection logs; the quality percentage is calculated automatically, and a separate alert rule covers results below 70%.

Comparing many stations on the same measures

Set up each station as its own building in the location hierarchy, with restrooms, the shop, the cafe and other areas under it. Hygiene reports show the average score and the share of ratings at 2 or below by station, area and date. Plan compliance uses the same breakdown, so stations appear side by side.

Reading the two together matters. If plan compliance is high at a station but scores stay low, it may be time to review round frequency or the inspection checklist. Reports export to Excel, and charts can be saved as PNG.

At dealer-operated stations, staff log cleaning in the mobile app, and admin panel access is limited with role-based permissions.

Holiday peaks

During public holidays and travel peaks, restrooms see far more use than on normal days. Cleaning plans have separate day profiles for routine days and public holidays, and you can add custom plans for busy areas. Holidays can be entered manually or imported.

During the peak, filter reports by station and date to see right away which station's score is dropping. The station that needs support is spotted that day, not after the holiday.

For transit and international travelers, the visitor interface is available in Turkish, English, German and Arabic. With AI translation on, managers read comments in their own language.

Four steps to set it up

  1. Define stations and areas. Add each station as a building, with restrooms, the prayer room, the shop and other areas under it.
  2. Place QR posters and NFC tags. Bulk print restroom posters with your branded template and write NFC tags for cleaning rounds.
  3. Set up cleaning plans. Define hourly or shift-based plans and holiday profiles, and turn on the verification settings.
  4. Turn on alerts and compare. Send low-score alerts to shift supervisors and compare stations every week.

Frequently asked questions

Do travelers need to download an app?

No. The traveler scans the QR code with the phone camera or taps the NFC tag, and the form opens in the browser. Submissions are anonymous by default.

Does it integrate with our fuel automation system?

No, there is no fuel automation or POS integration. EnaFeedback keeps hygiene, feedback and cleaning records.

Does it work at stations with a weak connection?

The traveler form and the staff app need an internet connection; mobile data is enough. The app has no offline mode; each log is written to the server right away.

Can we track shift staff attendance too?

Yes. Staff check in and out at the station with a QR code, live display or NFC tag, and the monthly timesheet exports to Excel.

How does pricing work?

We offer one unlimited plan with all features, priced on request. A free trial account opens about 2 hours after your request.

Conclusion

At a fuel station, restroom hygiene decides where travelers stop next time. The QR rating measures the problem from the traveler's side, alert rules reach the person in charge even on the night shift, and NFC rounds show the cleaning really happened.
