Solution for dormitories

Put dorm repairs on record, not on a petition

EnaFeedback is a platform that collects repair requests, requests and complaints in student dormitories through QR codes and NFC points in rooms, corridors and shared areas. Every request reaches maintenance or dorm management with the room and block; students follow status with a request code, and cleaning logs are kept by area.

Repair requests with room and block

The student scans the QR code in the room; "Block B, floor 3, room 312: sink blocked" arrives without typing the room.

Request codes and status tracking

After sending, the student gets a request code and follows the status as "New," "In progress" or "Closed," with email or SMS updates if they want.

Routed to maintenance and dorm management

Requests go with a note to electrical, plumbing, IT or dorm management teams, and resolution times are reported.

Verified cleaning in shared areas

Staff tap the NFC tag in bathrooms, restrooms and laundry rooms to log cleaning and inspections; shift plan compliance is tracked as a percentage.

Dining and dormitory surveys

Meal satisfaction in the dining hall and a dormitory survey at the end of term; each response is stored with its location.

Dorm rules and announcements

Dorm rules, the weekly menu, laundry hours and announcements on pages opened from the QR code and on live displays at the entrance.

Common challenges

  • Students report repairs at the front desk, in a logbook or by petition, and the record and order get lost.
  • Many students report the same repair separately, and it is unclear which ones were fixed.
  • Cleanliness in bathrooms, restrooms, laundry rooms and shared kitchens goes unnoticed until someone complains.
  • Dining satisfaction is only measured in a general survey once a year.
  • Dorm rules, menus and announcements stay on notice boards and do not reach students in time.
  • International students struggle to report problems in Turkish.

Where QR and NFC points go

  • Student rooms (inside the door or at the desk)
  • Floor corridors and shared bathrooms
  • Laundry rooms
  • Shared kitchens and study rooms
  • Dining hall and cafeteria
  • Entrance, front desk and security
  • Gym and social areas
  • Garden, parking and bike parking

Repairs and requests: no petition, on record, trackable

The student scans the QR code in the room or corridor with the phone camera, and the form opens in the browser without an app or account. They choose request, suggestion, complaint or thanks and can add a photo or voice recording. The report arrives with the block, floor and room.

Dorm management routes it with a note to the electrical, plumbing, IT or cleaning team. Team members see it in their inbox, add notes and close it with a recorded result. Complaints open at high priority automatically.

After sending, the student gets a request code and follows the status as "New," "In progress" or "Closed." Students who leave contact details get an email or SMS when the status changes. Dorm management sees open tickets, ticket age and resolution times by block and floor.

Shared areas: bathroom, laundry and kitchen cleaning

Set up shift-based cleaning and inspection plans for floor bathrooms, restrooms, laundry rooms and shared kitchens. Cleaning staff tap the NFC tag in the area to log their work; with "Verification required" on, a log can only come from a session opened by that tag. Plan compliance is reported as a percentage.

Students can rate cleanliness in the same areas on a five-point scale. With an alert rule for scores of 1 or 2, the person in charge hears about it in the app, plus email or SMS if you want. A dirty bathroom shows up when it is rated, not at the morning inspection.

  • Cleaning and inspection performance by area and staff member
  • Hygiene score trends and low-score alerts
  • Staff attendance and monthly timesheets
  • Excel and PDF export

Dining, social areas and end-of-term surveys

Open a short survey or feedback point in the dining hall after meals; topics such as "dinner portions" or "breakfast hours" show up by location and date. At the end of term, publish a dormitory-wide satisfaction survey; responses are stored with the block where they were given.

AI sentiment analysis marks the tone of every comment, so negative comments (for example about hot water, internet or noise) stand out in a long list. Analytics screens compare results by location and period.

Dorm rules, menus and announcements

Next to the request form, the same QR code can open dormitory information: dorm rules, entry and curfew hours, the weekly menu, laundry hours and emergency numbers. Content pages are updated from the admin panel.

Screens at the entrance or in the dining hall can be paired as live displays. Short announcements such as a water outage or maintenance work show on QR pages and on live displays.

International students and privacy

The visitor interface is available in Turkish, English, German and Arabic, and students choose their own language. With AI translation on, managers read comments written in these languages in their own language.

Submissions are anonymous by default; students leave contact details only if they want status updates. Each organization runs on its own application stack, database and file storage, and decides which contact fields and which consent text to use.

Frequently asked questions

Do students need to download an app or sign up?
No. The student scans the QR code with the phone camera or taps the NFC tag, and the form opens in the browser. Submissions are anonymous by default.
Can university and private dormitories use it?
Yes. State, foundation and private dormitories can run as their own organization; university dormitories can also be set up as separate buildings and units inside the campus organization.
What if the same repair is reported many times?
Each report is its own record; managers see similar reports under the same location and route them to the same team; resolved records are closed with a result.
Does it integrate with our student housing system?
No, there is no ready-made integration with student information or housing systems. The room comes from the location the QR code or NFC tag belongs to.
