Training and drill attendance, without passing round a sign-in sheet

EnaFeedback trainings and events is location-based attendance: staff confirm they attended a training, a drill or an organization event by scanning the QR code, live display or NFC tag at the event’s place and tapping “I attended”. Every event has its own date, time, places, audience and check-in window. Managers see who attended, who came late and who missed mandatory training, and download an Excel file and a printable sign-in sheet per event.

One-tap attendance

Staff scan the QR code, live display or NFC tag at the event’s place and tap “I attended”. Each person checks in once per event.

Date, time and check-in window

Every event is a single session with its own day, start and end time, and a check-in window in which attendance is accepted.

Audience and mandatory training

Open an event to all staff or chosen groups, mark it mandatory and set a capacity. People who missed it are listed.

Announcements and reminders

An announcement on publish, a reminder before the start to those without a record, and a notice to anyone who missed mandatory training.

Event and personnel analysis

Attendance rate, late arrivals, arrival histogram, attendance by group and place; missed mandatory training per person.

Excel and sign-in sheet

Summary, attended, missed and voided per event in Excel, plus a printable sign-in sheet for audits.

Why is proving training attendance hard?

Hospitals and organizations run fire safety, hand hygiene and occupational health trainings and civil defense drills regularly, and accreditation audits ask who attended. Attendance is often kept on a sign-in sheet passed round the room: signatures are unreadable, sheets get lost or are filled in later, and finding who missed the training means comparing the sheet with the staff list by hand.

EnaFeedback trainings use the location points your organization already has. Staff scan the event’s place with their own phone and the record is written to the server at once. Attendance outside the check-in window, away from the event’s places or from outside the audience is refused, and each record keeps its source, place and location proof.

  • No extra devices or card readers
  • Attendance only in the check-in window and at the event’s places
  • One record per person per event

Plan and publish events

An event has a title, color, trainer or organizer, description, day, start and end time (same day, at least 15 minutes), a check-in window (by default it opens 30 minutes before the start and closes at the end) and one or more places. The audience is all active staff or chosen personnel groups; mandatory and capacity are optional. Each event can require a verified scan and a fresh session.

An event is saved as a draft and becomes visible to staff once published; if you like, the audience gets an announcement. A published event can be cancelled before it ends, and only drafts are deleted. “Duplicate” copies an event one week later as a draft, so repeating trainings are quick to plan.

  • Day, time, check-in window and several places
  • All staff or chosen groups
  • Mandatory training and capacity
  • Draft, publish, cancel and duplicate

For staff: I attended, My trainings and reminders

While the check-in window is open, staff who scan the event’s place see an “I attended” button for each open event, in the staff panel or the mobile app. Someone outside the audience sees “You cannot check in to this event”; these attempts are counted without names. Attendance after a set time from the start (10 minutes by default) is marked late.

“My trainings” shows upcoming events, the ones attended and missed mandatory training. Before the start (60 minutes by default) people without a record get a reminder, and when a mandatory event ends those who missed it are told. Messages land in the message center in the staff member’s language (Turkish, English, German, Arabic).

  • Web staff panel and mobile app
  • Late attendance marked
  • My trainings: upcoming, attended, missed mandatory
  • Reminders and notices in the staff member’s language

Analysis, Excel and sign-in sheets

The Records and analysis screen shows the events in a date range, attendance counts, the average attendance rate of ended events and the mandatory training rate. Per event you see the audience, attended, rate, missed, late, median arrival, verified scans, manual, voided and denied scans, a 5-minute arrival histogram and attendance by group and place. Per person it lists the events they were in the audience for, attended and missed.

Rates use the active staff in the audience when the check-in window closed, so later group changes do not rewrite history. Each event downloads as Excel (summary, attended, missed, voided) and as a printable sign-in sheet. When the check-in window closes, managers can get an attendance summary alert.

  • Attendance rate and mandatory training rate
  • Arrival histogram, attendance by group and place
  • Rates stable thanks to the audience snapshot
  • Excel, sign-in sheet and attendance summary alert

Manual records, voids, locking and roles

A manager adds an attendee without a phone by hand with a required note and voids a wrong record with a reason. A voided record is not deleted, leaves the counts and stays visible with who voided it and why; the person concerned is told. An ended event can be locked so its records no longer change. All of this is written to the audit log.

Permissions are separate: records and analysis, record management, training and event planning, and module management. The ready-made “Training coordinator” role holds the first three, so a training or quality team runs events without access to module settings.

  • Manual records with a note, voids with a reason
  • Lock an ended event
  • Audit log
  • Training coordinator role

Frequently asked questions

How do I plan repeating trainings?
Every event is a single session. For weekly or monthly trainings, “Duplicate” copies an event one week later as a draft; adjust the date and time and publish it.
What if the same training runs in several rooms?
An event can have up to 20 places; staff check in by scanning any of them. The analysis also shows attendance by place.
How are late arrivals shown?
Attendance after the module’s late threshold from the start (10 minutes by default) is marked late. The event analysis shows the number of late arrivals and a 5-minute arrival histogram.
What if an audit asks for a signed sheet?
Every event has a printable sign-in sheet listing attendees and absentees in name order with an empty signature column, and an Excel file per event with summary, attended, missed and voided sheets.
Do staff need the mobile app?
No. Staff can scan the event’s QR code with their phone camera and check in from the web staff panel. The mobile app adds a training tile on the home screen, NFC-verified scans and “My trainings”.
