Announcements for visitors: QR pages, displays and the mobile app

A closed restroom, a lift under maintenance, a help desk that moved. In EnaFeedback, one announcement appears at once on the QR pages, live displays and mobile app of the locations it concerns.

The easiest way for a visitor to report a problem is to scan the QR code where they are. The same path also works the other way: when a visitor scans the code, they can see what they need to know about that spot. That is what visitor announcements in EnaFeedback's Message center do. You write one announcement, and it appears at once on the QR pages, the live displays and the mobile app's visitor mode for the locations you choose.

When is it useful?

A visitor announcement is the digital version of the note taped to the door, except that you decide where it shows and for how long. Typical examples:

  • Temporary closure: "This restroom is closed for cleaning until 14:00. Nearest restroom: ground floor, next to the help desk."
  • Maintenance and faults: "The Block B lift is under maintenance; please use the Block C lift."
  • Directions: "The blood test unit has moved to the 2nd floor."
  • Information: "The cafeteria is open 10:00–16:00 at weekends."

These announcements also cut down repeat complaints. A visitor who sees on the QR page that the lift is under maintenance doesn't need to send a separate "lift not working" report.

How to write an announcement

In the admin panel, open Message center → New message and choose Announcement as the type.

  1. Choose visitors as recipients. The announcement can show at all locations or only at the ones you pick. You can send the same announcement to staff and admin roles too, so the help desk team knows what visitors know.
  2. Write a title and text. The editor supports headings, bold, lists and links. For visitors, keep it short and actionable: what happened, how long it lasts, what to do.
  3. Choose a severity. Info, Important or Urgent. The severity sets the announcement's colour and how strongly it catches the eye.
  4. Set a visibility window. With a start and end time, the announcement shows during that window and disappears on its own when it ends. No more forgetting to take the note off the door.
  5. Pin it if needed. A pinned announcement stays at the top of the list.
  6. Send now, schedule it, or save it as a draft.

If things are fixed early, you can end the announcement straight away by taking it down.

Visitors need no account

Visitor announcements show on public QR pages and displays. Visitors aren't asked to sign up, sign in or leave contact details.

Where does the announcement appear?

PlaceWhat the visitor sees
QR pageThe current announcements for that location, on the page that opens when they scan its QR code or NFC tag
Live displayAn announcement strip with the current announcements on the location's display
Mobile app (visitor mode)Announcements for the location, plus the status of the reports the visitor has sent

An announcement written for all locations shows everywhere; one written for specific locations shows only there. You'll find how to set up QR posters and live displays on the QR posters and displays page.

Visitors also see the status of their report

In the mobile app's visitor mode there is one more thing next to the announcements: the current status of the reports the visitor sent from that device, shown as Received, In progress or Completed. The answer to "I reported it, but did anything happen?" becomes visible, even if the visitor left no contact details. That is a strong reason for them to report the next problem too.

Visitors who did leave contact details still get an e-mail or SMS when their request's status changes, as before. These messages now show in the delivery log as System messages.

Five tips for a good visitor announcement

  1. One topic per announcement. If there's more than one thing to say, write separate announcements.
  2. Give the alternative. "Closed" isn't enough; say where the nearest open restroom or lift is.
  3. Give a time frame. Announcements with a clear end time look more reliable and disappear on their own.
  4. Use Urgent sparingly. If everything is urgent, nothing looks urgent. Keep it for safety issues and access barriers.
  5. Send it to the team too. Send visitor announcements to staff and the help desk as well, so they give the same answer when asked.

Frequently asked questions

Which languages do announcements support?

Announcements appear in the language you write them in. For a multilingual audience, keep sentences short and simple, and write a bilingual text if needed.

Who can publish announcements?

Admins with the announcements and bulk sending permission. By default, these are the owner, admin, cleaning manager and page manager roles. Adding e-mail or SMS to an announcement also needs the external channels permission.

Can I edit an announcement afterwards?

Drafts and scheduled announcements can be edited until they're sent. To change a live announcement, take it down and publish a new one. That way the record stays clear about who saw what, and when.

Conclusion

Talking to visitors works best where they are already looking: the QR code they scan, the display in front of them, the app in their hand. Visitor announcements feed all of these from one text, with a time frame that ends on its own. We cover the full Message center in alerts, announcements and messages in one place, and step by step in the visitor announcements help page. To try it in your own facility, request a demo.
