Verified cleaning logs instead of paper charts

A paper cleaning log is a chart on a restroom or common-area door where staff write a time and sign. EnaFeedback takes cleaning and inspection logs on site from a session verified by NFC or a live display QR, then compares them with the plan and reports on them.

Proof of presence

With verification required, logs can only be written through the NFC tag or live display at the location.

The system writes the time

Nobody types the time; the fresh session rule limits the gap between scan and log to 5 minutes.

Automatic plan compliance

Required and actual cleanings are compared by shift and reported as percentages.

Checklists and quality scores

Inspectors tick control parameters, and you get an alert when quality drops below 70%.

Hygiene through visitors’ eyes

Visitors rate 1–5 at the same point, so staff logs and results can be read side by side.

An audit-ready archive

Filter by date and location and download Excel or PDF instead of searching folders.

When is paper cleaning and inspection charts enough?

  • If there is no mobile internet on site or staff cannot use phones, paper charts keep working; EnaFeedback has no offline mode.
  • If a regulation or client contract requires a physically signed chart, you may need to run both methods for a while.
  • If a single point just needs a simple reminder with no evidence or reporting, paper may be enough.

What a paper chart does not prove

A chart on the door has a time and a signature. That does not prove cleaning happened there at that time. Charts can be filled in all at once at the end of the shift, signed on someone else’s behalf, or completed later.

The gap shows when a complaint or audit comes in. All you have are handwritten times, and no way to show they are accurate.

How EnaFeedback verifies a cleaning log

Staff tap the NFC tag at the location or scan the QR on a live display, then log "Cleaning done" or "Checked." The NFC tag carries a trust token whose hash is the only thing the server stores; the display QR refreshes every 15 seconds and stays valid for 30.

With "Verification required" on, a log cannot be written without one of these two methods. "Fresh session required" means the log must be written within 5 minutes of the scan. Every log stores the verified and fresh flags, and reports show them.

NFC verification works only in the EnaFeedback mobile app, which reads the trust token. An NFC tap without the app opens the location in the browser as an unverified session, the same as a QR scan. Cleaning logs do not include photos; the evidence is the location session itself.

Plan compliance: the answer to "was it cleaned?"

For each location you define shift slots and the required number of cleanings per slot (1 to 3). The system compares actual logs with the plan and calculates two rates: completion percentage and success percentage, the share of slots fully met.

Plans are versioned, so when you change a plan, past days are still evaluated against the plan in force on that day. A separate day profile can be used for public holidays.

Read it alongside visitor ratings

Cleaning that happened is not the same as a good result. A QR code at the same point lets visitors rate hygiene from 1 to 5 and add a photo. Read staff logs and visitor ratings together and you see both the process and the outcome.

Paper cleaning logs

The difference between a signed chart on the door and a digital cleaning log verified on site and checked against the plan.

  1. 01

    Add charted points as locations

Define every door that has a paper chart today as a location.

  2. 02

    Place NFC tags

Write and lock tags from the mobile app; use live displays in busy areas.

  3. 03

Turn the chart into a plan

Enter the time ranges from the paper chart as shift slots with required cleaning counts.

  4. 04

Turn on verification, remove the paper

Run both methods in parallel for the first weeks, check plan compliance, then remove the charts.

Frequently asked questions

What if staff don’t have smartphones?
Logging needs a connected phone with a camera. Staff sign in to the web staff hub with their own 4-character code, with no app to install. Teams that cannot use phones may need paper charts for a while longer.
Can we add photos to cleaning logs?
No, cleaning and inspection logs do not include photos. The evidence is that the log came from a verified, fresh location session.
Does a printed QR code provide verification?
No. Logs written through a printed static QR are marked unverified. Verification needs an NFC trust token or the rotating QR on a live display.
What if an auditor asks for paper charts?
Filter cleaning log analysis by date and location and download it as Excel, or download personnel report summaries as PDF. If a physically signed document is mandatory, we suggest running both methods for a while.
Do holidays distort plan compliance?
No. Plans have separate day profiles for routine days and public holidays. Enter holidays by hand or import them.
