Media attachments are the photos, videos and voice recordings a visitor adds to feedback or a cleaning report. Visitors add them on the visitor screen opened by a QR code or in the EnaFeedback mobile app; admins see them in the admin panel and in the mobile app. Voice and video recordings can be transcribed with AI for admins. This article explains which attachments are available, with which limits, and where.

Required role, permission and version

  • Visitors need no role.
  • The Owner or Administrator decides which attachment types are on: open the section's Module management page, select the module and switch Photo, Video and Voice recording on or off under Attachments on the Extensions tab.
  • Seeing attachments only needs permission to see the record (for example Feedback manager or Cleaning manager).

The message text in the visitor form is up to 1,200 characters.

  • Photos are added with Add photo from gallery and Take a photo; videos with Add a video file and Record a video with camera.
  • Voice recordings are made with the microphone in the browser (Start voice recording, Stop recording). Recording stops on its own after 2 minutes: Time limit reached — Recordings can be up to 2 minutes. The browser must ask for microphone permission; without it, recording is not possible.
  • Photos are resized in the browser before upload (longest edge up to 1920 pixels).

Each file is uploaded before the form is sent. While sending, progress such as Uploading files (1/3) appears.

What happens on the server?

  • The file's content is checked against its declared type. Files that do not match are rejected.
  • Photos are rotated upright and converted to WebP with the longest edge at most 1920 pixels. This conversion does not carry EXIF data (including where the photo was taken) into the new file.
  • Voice recordings are converted to single-channel AAC (M4A).
  • Videos are converted to H.264 MP4, at most 1280 pixels wide.
  • Files that were uploaded but never attached to a submission are deleted after 24 hours.

Other data inside video and audio files

The code does not explicitly guarantee that other metadata inside video and audio files is removed. If you do not need videos from visitors, which may contain location data, keep video attachments off.

Transcripts for admins

Open a voice or video attachment in the record detail and click Transcribe. While it runs, Transcribing… appears. The text is stored; refresh it with Retranscribe. If the recording has no clear speech, it says (Empty / unintelligible recording).

With Transcript translation on, the transcript can be translated into the organization language.

Transcript settings are under System settings → AI preferences in the Transcription section. Audio and video are switched separately; both are on by default. For a type that is off, the Transcribe button is hidden. Transcript translation is off by default. To transcribe video, an AI provider that supports video must be connected.

Known limits

  • Each submission can hold up to 5 photos, 1 video and 1 voice recording.
  • Surveys do not accept attachments.
  • Voice recording in the browser depends on browser support for microphone recording and on permission being granted.
  • The mobile app does not show video transcripts.
