Hygiene assessment

How visitors rate cleanliness on a 1–5 scale, how hygiene reports are closed or transferred as feedback, and how to set low-score alerts.

Last updated:

Hygiene assessment is the EnaFeedback module that lets a visitor rate how clean a location is, from 1 to 5, by scanning its QR code. In the admin panel these entries are called "Hygiene reports". The module backs up restroom, waiting area or cafeteria hygiene inspections with live visitor input instead of paper checklists.

Required role

  • Hygiene manager: views hygiene reports, adds notes, closes them and analyzes them.
  • Owner or Administrator: the roles that can change module settings (display, attachments).

Rating scale

ScoreLabel
1Very dirty
2Dirty
3Average
4Clean
5Very clean

Scores are shown as emoji by default. You can switch to Stars and show or hide the labels. A visitor can add an optional comment and photo to the rating. Video attachments are off by default.

Each assessment gets a 6-character reference code starting with "TB". The same rating at the same location within 5 minutes is rejected, and there is a limit of 10 ratings per minute.

Statuses and history

A hygiene report is either Open or Closed. Its history shows these actions: Viewed, Note added, Transferred, Closed.

To close a report you must choose a close result and write a note. The close results are the same as for tickets: Resolved, Unresolved, Not an actionable issue.

Handle a hygiene report

Open the list

Go to Hygiene report → Hygiene reports and review the open reports.

Review the report

Check the score, comment and any photo. Add a note if needed.

Close or transfer

If the issue was fixed on site, close the report with a close result and a note. If a resolution team needs to act, transfer it as feedback as described below.

Transfer as feedback

Turning a hygiene assessment into a ticket is manual. On the report, click Transfer as feedback, enter a subject and message, and pick a priority. The category defaults to Complaint.

The transfer creates a new feedback item and ticket on the "Hygiene escalation" channel. An automatic summary and the attachments are copied across. Each assessment can be transferred only once.

No automatic escalation

Low scores do not turn into tickets on their own, and nothing escalates after a time limit. Someone has to transfer an assessment manually for a resolution team to receive it.

Alerts for low scores

To catch low scores quickly, use the module alert rules under Alerts:

  • Rated 1
  • Rated 2

These rules are off by default; nobody is notified until you turn them on. There are also separate rules for assessments with a comment or with media.

Reports count a score of 2 or lower as "low". Follow trends in Hygiene report → Hygiene report analysis. You can export a single hygiene report as PDF and lists as Excel.

Tips

  • Read visitor scores alongside field staff cleaning logs. Seeing whether a cleaning was logged around the time of a low score helps you tell a missed round from a one-off incident.
  • If people such as a night shift supervisor need to hear about bad scores right away, remember to turn on the "Rated 1" rule. While it is off, only someone checking the list will see them.
